Penguin London is seeking a highly organised and professional Travel Coordinator & Personal Assistant to provide comprehensive support to our executive team. The successful candidate will be responsible for managing complex travel arrangements, scheduling appointments, and ensuring smooth daily operations. This role demands exceptional attention to detail, discretion, and the ability to handle multiple tasks efficiently in a fast-paced environment. The Travel Coordinator & Personal Assistant will serve as a vital liaison between executives, clients, and suppliers, contributing to the overall productivity and success of Penguin London. Key Responsibilities Coordinate and manage complex domestic and international travel itineraries, including flights, accommodations, and ground transportation. Organise and maintain executive calendars, scheduling meetings and appointments with precision. Act as the primary point of contact for internal and external correspondence. Prepare and process expense reports, travel documents, and related administrative tasks. Assist in the preparation of presentations and reports as needed. Maintain confidentiality and handle sensitive information with discretion. Support ad-hoc personal and administrative duties to facilitate executives’ efficiency. Proven experience as a Personal Assistant or Travel Coordinator, preferably within the travel or related industries. Exceptional organisational skills and meticulous attention to detail. Strong written and verbal communication skills. Proficiency in MS Office Suite and travel management software. Ability to manage multiple priorities and work under pressure. Discretion and professionalism in handling confidential information. Flexibility to adapt to changing schedules and demands. Hours, Location & Compensation - Office based (Sports City, Dubai). - Flexible working hours (8 hours per day). - Available & willing to answer any urgent emails or messages outside of working hours. - Starting salary: AED 13,000-15,000 per calendar month (based on experience) with progression paths and commission opportunities - 2 days per month annual leave in year 1 (after probation). - 30 days annual leave after year 1. - Private medical cover. - Visa, Emirates ID and all related costs.
