Florida Trust & Estate Counsel (FTEC) is seeking a detail-oriented and experienced Trust Administration Specialist to join our team. This position plays a vital role in ensuring the smooth administration of trusts for our clients. You will work closely with attorneys, trustees, beneficiaries, and other professionals to ensure that all trust-related matters are managed in accordance with the legal requirements and the terms outlined in the trust documents. The ideal candidate will have a strong understanding of trust administration, legal processes, and excellent organizational and communication skills. As a Trust Administration Specialist at FTEC, you will be expected to manage day-to-day trust activities, assist in the management of trust assets, ensure compliance with fiduciary duties, and provide outstanding service to our clients. You will also be responsible for preparing and maintaining trust-related documents, liaising with clients, and supporting attorneys in delivering high-quality trust administration services. Responsibilities Oversee the daily administration of trusts, including managing trust assets, making distributions to beneficiaries, and ensuring the proper management of investments. Ensure that all trust actions are in line with the terms of the trust agreement and that fiduciary duties are fulfilled in accordance with legal standards. Draft, review, and prepare trust-related documents, such as trust accounting statements, distributions, amendments, and termination paperwork. Work closely with attorneys to ensure that trust administration aligns with estate planning strategies and legal requirements. Serve as a liaison between trustees, beneficiaries, and the firm, providing updates on trust administration matters and addressing questions or concerns. Assist with the coordination and management of trust assets, including real estate, financial investments, and business interests. File necessary documents with probate courts, the IRS, and other agencies in a timely and accurate manner. Maintain accurate and complete records of all trust activities, including financial transactions, distributions, and correspondence with clients and beneficiaries. Provide regular updates and reports to clients and internal teams regarding the status of trust administration and distributions. Address and resolve any issues related to the administration of the trust, including disputes between trustees and beneficiaries or with third-party service providers. Bachelor’s degree in Business Administration, Finance, Accounting, Paralegal Studies, or a related field. Paralegal certification or other relevant certifications are preferred. Minimum of 2-3 years of experience in trust administration, estate planning, or a related legal field. Experience working with fiduciary duties, trust document preparation, and asset management is required. Strong understanding of trust law, estate planning, and probate processes. Knowledge of Florida state laws governing trusts and estates is preferred. Familiarity with trust accounting, financial statements, and managing trust assets. Excellent organizational and time-management skills with the ability to manage multiple trusts simultaneously. Strong written and verbal communication skills. Ability to work independently and collaboratively as part of a team. High attention to detail and accuracy, particularly when handling financial and legal documents.
