He/she is expected to fulfil the mission of the Fiduciary Services and to deliver upon its value proposition as part of Comprehensive Client Solution. The Trust Administrator reports to Head Structure Management 1 . KEY FEATURES OF THE POSITION People Management When assigned or required, mentor other members of the fiduciary team including training, problem solving and control of direct reports’ (if any)workload when necessary Provide support to Trust Manager when required Handle new business enquiries working flexibly with colleagues in all departments Client Management (internal & external) Client Support (internal/external): Act as a liaison between Internal clients - WP, Key People in Private Banking Division and external clients - clients and selected external service providers Provision of high quality trust and company services to High Net Worth / Ultra High Net Worth individuals When required, work in close partnership with the Wealth Planning Advisory unit to handle new business enquiries from potential internal / external customers and professional intermediaries and ensure the smooth, efficient and timely on-boarding of new accounts and in compliance with policies and procedures as well as regulatory requirements Interact with colleagues in a way which maintains high levels of morale and promotes sound team values, particularly regarding: Work ethic / commitment Service standards Productivity Commercial flexibility Working flexibly with colleagues across the Group Engineering of tailored structures referred by Wealth Planning, including attendance of internal / external client meetings, engagement / supervision of professional advisors and general oversight of the case. Utilize robust risk management techniques. Wealth Planning to be kept informed / involved as appropriate Analysis and management of situations involving fiduciary risk, using technical knowledge and exercising sound judgement Business Management Administration & administration liaison: responsibility for the day-to-day management, administration and oversight of complex trusts, companies and other in-house and external fiduciary structures Close co-ordination with Wealth Planning colleagues to maximise continuity / efficiency across the Group Maintain close contact with colleagues and team lead of the overseas Trust Centres in order to strictly maintain alignment and continuity with the procedures, operating standards and working practices of all Trust Centres across the BJB Group Perform the timely completion of:- Investment Reviews Annual Reviews Minor administrative matters Key Issues Financial Statements approval Trust Client Reviews Regulatory Responsibilities &/OR Risk Management Demonstration of appropriate values and behaviours including but not limited to standards on honesty and integrity, due care and diligence, fair dealing (treating customers fairly), management of conflicts of interest, competence and continuous development, adequate risk management, and compliance with applicable laws and regulations Uphold sound working practices to the satisfaction of key internal and external stakeholders / regulators:- Monetary Authority of Singapore Legal & Compliance Internal Auditors External Auditors Intensive analysis and management of situations involving potentially high commercial (fiduciary) risk, using technical knowledge and exercising sound judgement Maintain, review and improve internal procedures in consultation with the local Compliance as appropriate and strictly in alignment with Group trust centres as a whole Intensive monitoring and supervision of key indicators to ensure timely completion by the team (if applicable) of:- Investment Reviews Structure Reviews Key Issues Minor Administrative Matters Client Financial Statements approval Trust Client Reviews Keep abreast of market competition, industry changes, service innovations, and other pertinent information which may impact marketing strategy and positioning YOUR PROFILE Personal and Social Excellent communication skills - verbal, written and listening - with the ability to express things simply and directly, maintaining a focused and controlled discussion Flexible consensus builder, employing a straightforward and honest style. Broad working knowledge and experience of trust / company administration practices, tax and estate planning, financial planning, accounting, banking and investments Consistently demonstrates commitment to and complete understanding of professional, ethical and legal standards Ability to communicate in Business Mandarin would be added advantage as the role is also to work with and support Mandarin-speaking clients where the main language used in written and verbal communication is expected to be Mandarin We are looking forward to receiving your full job application through our online application tool.
