JOB SUMMARY

Provide key support to our Multi Academy Trust leads and Operations Training Coordinators to:

  • maintain the team’s day-to-day schedule (internal and external work)
  • manage the customer service inbox
  • support day-to-day operations.
Responsibilities

KEY RESPONSIBILITIES

Support the Trust team to:

  • complete general admin tasks,
  • action QA features on the admin and school portal, as requested
  • book meetings internally and externally and manage the communication
  • research potential trusts - collect information data from RMT’s database
  • manage trust@ inbox, allocate queries to the appropriate team members, block out trust lead days in diaries
  • answer emails, Teams and telephone queries from schools, trust and trainers, in a timely and professional manner
  • add prepared updates and trainer comms to RMT staff internal homepage, and ensure the news area is always up to date
  • prioritise and lead on specific tasks as new opportunities arise

Manage Trust diary and events (internal and external):

  • manage all events – diary organisation, booking events, communication with schools and booking supportset up dates/ times for free support sessions (liaise with events trainers and share dates with Trust Operations team)e.g school data reports and targets

    • organise CPD meetings for trust trainers and find availability in diaries
  • set up Teams meeting links for half-termly drop-in sessions (internal, for trust trainers and trust leads)

Complete Trust data reporting and QA:

  • download and prepare data reports from internal systems as requested, ready for leads to analyse and action ( including schools’ half-termly data, training summaries)prepare and update Trust data documentation – e.g., Phonics Screening Check tracker and other school level data

  • Carry out general administrative tasks as requested by all members of the team.

SKILLS AND QUALITIES REQUIRED FOR THIS ROLE:

  • excellent interpersonal and communication skills, both verbal and written
  • proven administrative skills – efficient in planning, organising and prioritising
  • excellent telephone manner with all customers, giving friendly, helpful advice and service
  • ability to work under pressure with a high level of accuracy impeccable attention to detail
  • ability to maintain professional working relationships with colleagues and representatives from Oxford University Press
  • Proficient IT skills – Word and Excel; database experience; minimum typing speed of 40wpm.
