Description

MINIMUM EXPERIENCE:

Two (2) years’ experience in clerical or administrative support work. Two (2) years’ experience with Excel, Word, PowerPoint, Outlook, and Access databases and conducting internet research required.
Additional Requirements: A valid Texas Driver’s License must be provided within 90 days of hire.

PREFERRED EXPERIENCE AND QUALIFICATION:

  • Honorably discharged veteran
  • Bachelor’s degree
  • Experience in a State Agency
  • Experience with the State’s Centralized Accounting and Payroll/Personnel System (CAPPS)
  • Experience with coordinating and processing travel for government employees
  • Certified Microsoft Office Specialist (MOS)
  • Customer Service experience

Responsibilities
  • Provides administrative support and technical assistance for the Director and staff of the Veteran Entrepreneur Program (VEP).
  • Prepares confidential material, correspondence, memos, reports, emails, and spreadsheets working from a draft and/or from transcribed data.
  • Conducts research, collects, and analyzes data to prepare reports and documents.
  • Review and coordinate leave requests of all VEP staff.
  • Completes personnel action forms and gathers information to document personnel actions, including disciplinary actions, merits and promotions, and terminations within the department.
  • Assists with identifying vacancies, creating job postings, and conducting onboarding functions within the district.
  • Performs Time Administrative functions.
  • Arranges and coordinates meetings and events.
  • Transcribes meetings and interviews, documenting the information.
  • Coordinates and interacts with internal staff at all levels.
  • Reviews operating practices and suggests and implements improvements.
  • Draft responses for routine and non-routine correspondence to include legislative and constituent inquiries.
  • Coordinates travel arrangements for all VEP staff.
  • Prepares and reconciles travel vouchers for all VEP staff.
  • Schedules and maintains the work and events calendar for the Director and VEP staff.
  • Works effectively with a variety of individuals, groups, and stakeholders.
  • Answers inquiries regarding procedures and policies, and provides routine information to the public by mail, email, web, or telephone.
  • Print, emboss, and prepare all Veteran-Owned Business (VOB) Certificates and Logos.
  • Mail VOB Certificates and Logos to the VOB.
  • Track and maintain stamps for mailing.
  • Coordinates and interacts with external requests correctly, logging calls and emails.
  • May assist in researching, writing, designing, proofing, or editing agency publications such as brochures, forms, manuals, reports, and charts.
  • Maintains confidentiality of sensitive information.
  • Prepares and reviews operational and special reports.
  • Composes, reviews, and edits technical documents, material, and reports.
  • Establishes, maintains, and revises record-keeping and filing systems—Classifies, sorts, and files correspondence, articles, records, and other documents.
  • Performs complex typing and/or word processing/data entry.
  • Assists in compiling statistical data and preparing various charts, graphs, and written summaries.
  • Database maintenance.
  • Work hours outside of 8-5 may be required for this position to accommodate work-related functions.
  • Performs related work or special projects as assigned.
