Description Scope of Work: The Unit Assistant is responsible for clerical and administrative support for the facility(s) daily operation. Responsibilities and Expectations: Greet patients, families, and visitors courteously and professionally Perform duties as assigned to meet the operational needs of the facility Oversee and assist clinical team with lab supply ordering, lab processing and shipment Handle incoming and outgoing calls professionally and courteously at all times, promptly answer calls while identifying oneself and the location Must maintain confidentiality of patient protected health information (PHI) Greet patients, complete registration forms, and collect necessary personal and medical information for record-keeping purposes Assist with patient entry and exit within the facility as needed Manage the scheduling of dialysis sessions for patients, coordinating with clinical staff Maintain accurate and up-to-date patient records, including treatment charts, laboratory results, and any other relevant information Maintain security of medical records Complete monthly medical record audits Fulfill medical record requests as needed Address billing-related inquiries, verify insurance information, and send new and updated patient information to billing as needed Manage and assist with supply ordering and inventory Act as a liaison between clinical staff, patients, and their families, conveying important information and addressing concerns as needed Enter patient information, treatment data, and other relevant details into the electronic medical records (EMR) system Comply with all applicable healthcare regulations, guidelines, and protocols to maintain patient confidentiality and safety Follow infection control policies and procedures Track and log reports required by company and government agencies and assist Facility Administrator with data collection and reporting as requested Prepare correspondences in a professional and efficient manner Sort and distribute mail appropriately Keep office, medical records room, and lobby clean and organized. Oversee maintenance of all other facility areas to ensure cleanliness and organization Use personal protective equipment (PPE) as required by policies and procedures Possess knowledge of, participate in and comply with all emergency preparedness procedures and trainings Assist with transportation arrangements as needed Participate in staff meetings and attend in-services as required Demonstrate effective use of business supplies and efficient utilization of scheduled work hours Follow all company policies and procedures Expected to report to work on scheduled day at scheduled time, working entire shift as per attendance policy All other duties as assigned Requirements Position Requirements: High school graduate or equivalent Previous front desk and clerical experience in a clinical/healthcare setting Must have basic computer skills, including Microsoft Office (Word, Excel, Outlook); proficiency in all NRC applications required within 30 days of hire Knowledge of medical terminology and procedures related to dialysis is an advantage Strong organizational and multitasking skills are essential for managing appointments and patient records Excellent interpersonal and communication skills for effective customer interactions Proficiency in using electronic medical record (EMR) systems Ability to work in a fast-paced environment and remain composed under pressure Attention to detail to ensure accuracy in maintaining patient records and schedules Demonstrated working knowledge of the English language and ability to communicate in writing as well as verbally Supply and inventory management experience preferred Excellent time management and task prioritization skills Physical Demands and Working Conditions: The physical demands and work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job.
