POSITION SUMMARY

The Laboratory Unit Communications Clerk (UCC) provides essential clerical and administrative support to the Laboratory Services Department. This role includes document preparation, data entry, records management, and communication with internal staff and external hospitals/pathology laboratories. The UCC contributes to the efficient operation of the department by coordinating workflow, maintaining accurate information systems, and supporting quality and process improvement initiatives.

Responsibilities

Clerical and Operational Support:

  • Completes a variety of administrative and general office duties to support daily lab operations.
  • Prepares and maintains departmental documents including agendas, meeting materials, and reference files.
  • Supports the coordination of departmental meetings such as Tumor Boards by organizing slides, reports, and other presentation materials.
  • Opens, sorts, and redirects internal and external mail.
  • Orders, records, and maintains office and lab-related clerical supplies using approved systems (e.g., e-Req, Grand & Toy).

Data Entry & Information Management:

  • Inputs and verifies data in electronic health systems (e.g., Meditech, Cerner), ensuring accuracy and completeness.
  • Manages departmental records and electronic databases, ensuring confidentiality and accessibility.
  • Tracks and reconciles documentation related to pathology materials sent to or received from external agencies.
  • Prepares and distributes reports (e.g., pathology, autopsy, bone marrow) to designated internal departments and partner facilities.

Communication & Scheduling Support:

  • Maintains effective communication with laboratory staff to support case coordination and workflow.
  • Distributes daily operating room lists and notifies staff of special case requirements (e.g., intraoperative consultations).

Process Improvement & Quality Assurance:

  • Participates in quality improvement initiatives, record audits, and departmental process evaluations.
  • Identifies opportunities to improve workflow and administrative efficiency within the department.
  • Maintains confidentiality of all patient, staff, and departmental information in compliance with hospital policy.
