Responsibilities
  • Performing administrative support duties: managing program documentation through maintenance of electronic files, preparing correspondence, maintaining agendas, and taking accurate and detailed meeting notes;
  • Supporting project coordination by tracking deliverables and monitoring deadlines;
  • Assisting with the preparation of data and program information for monthly and quarterly reporting to funders and other partners, including following up with necessary parties to ensure timely and accurate submissions;
  • Assisting with the purchasing of necessary office supplies, printing and translation services, software, equipment, etc., for team and programmatic needs and maintaining accurate documentation of purchases;
  • Communicating with program participants and partners over the phone, via email, or other electronic communication (i.e., Constant Contact), as needed;
  • Assisting with resource development and program communications, such as emails, program documents, PowerPoint presentations, and other outreach materials;
  • Assisting with gathering input from stakeholders to help shape communications strategies and messaging;
  • Assisting in designing visual content and formatting materials for clarity and engagement;
  • Researching and assisting with new and existing community partnership collaborations, including identifying potential partners, sourcing key contact information, and reaching out to engage them;
  • Assisting in scheduling meetings with external partners, taking notes, and tracking action items;
  • Supporting ongoing community partnership collaborations and related activities by coordinating logistics, scheduling meetings, taking notes, and supporting with collaborative project tasks;
  • Assisting with the planning and execution of in-person and virtual events, including preparing and distributing event materials, securing venues, coordinating supplies, managing room setups, tracking attendance, and/or facilitating Zoom meetings;
  • Assisting with event or meeting promotion, including drafting outreach emails, creating flyers, coordinating social media announcements, and engaging with community partners to boost attendance;
  • Attending relevant meetings, trainings, and events as needed;
  • Actively participating in Options for Learning’s annual in-service training;
  • Perform other duties as assigned.
