Description Reports to: Upper School Principal Length of Contract: 190 days Summary: The Upper School Administrative Assistant serves as the central hub for the division, managing daily operations, maintaining student records, and supporting the Upper School Administration. Responsibilities Include But Are Not Limited To: Front Office & Visitor Management Serve as the first point of contact by answering phones, greeting visitors, and responding to inquiries regarding school policies and procedures. Issue visitor badges and monitor/direct guests to the appropriate locations. Sign students in and out of school and issue tardy slips and early dismissal passes. Receive and document parent messages regarding absences, tardies, and early dismissals. Attendance & Student Records Maintain accurate attendance, disciplinary, and sign-in/out records in RenWeb. Log attendance notes and ensure proper documentation. Distribute Verification of Enrollment (VOE) forms as needed. Maintain and document student volunteer hours. Health & Student Care Dispense medication to students according to school policy. Maintain accurate records in the medication log. Communicate with the school nurse as necessary. Operational Support Manage the Upper School Principal’s calendar and schedule meetings. Prepare and proofread correspondence, reports, and official documents. Create and distribute the Upper School Master Schedule. Update and monitor the Upper School Calendar. Assist with mail distribution and end-of-year form collection. Collect money for school-related activities and manage deposits. Oversee petty cash and credit card distribution/reconciliation. Check requests, purchase orders, and deposits. Oversee substitute teacher procedures. Maintain the key checkout system for substitutes and teachers. Coordinate PTO and Project Graduation initiatives. Maintain faculty workspace organization. Supervise office aides. Technology and Facilities Liaison Serve as copier liaison (maintenance, repairs, supplies). Maintain the loaner computer station. Enter and track help desk tickets for faculty and staff technology needs. Requirements Qualifications: Committed to living a life of faith and service to Jesus Christ in accordance with the FWC Statement of Faith and Beliefs. Three years of Administrative Assistant experience. Strong organizational, communication, and multitasking skills. Ability to handle confidential information with discretion. Proficiency with office software and student information systems preferred.
