U.S. PAYROLL AND BENEFITS ADMINISTRATOR (12-MONTH CONTRACT)

We are seeking a detail-oriented professional to oversee payroll and benefits functions across the United States. This role ensures employees are paid accurately and on time while supporting the smooth operation of benefit programs.
The Payroll & Benefits Administrator is responsible for a variety of duties in payroll operations, benefits administration, and compliance and reporting for our branches in the U.S.

Location: Hybrid – Onsite presence required at least 3 days per week

QUALIFICATIONS:

  • U.S. Payroll certifications (e.g., FPC or CPP) or equivalent experience
  • 3+ years of payroll experience in a U.S.-based environment
  • Familiarity with cross-border payroll processes considered a plus
  • Familiar with employment regulations including I-9, COBRA, HSA, and 401(k)
  • Experience with Dayforce and advanced Excel functions
  • Strong organizational skills with attention to detail

Responsibilities
  • Process bi-weekly U.S. payroll from start to finish, ensuring accuracy, compliance, and timely submission.
  • Serve as the primary contact for employee questions related to payroll, benefits, and retirement plans.
  • Manage final pay calculations, including vacation payouts, in coordination with HR.
  • Maintain accurate employee records and ensure compliance with federal and state employment documentation requirements.
  • Administer health, dental, vision, 401(k), and other employee benefit programs, including enrollment and changes.
  • Support annual open enrollment processes and provide guidance to employees throughout.
  • Reconcile monthly benefits invoices, including cross-border (U.S. and Canadian) billing.
  • Generate recurring payroll and benefits reports (e.g., overtime, HSA, 401(k), EAP usage, terminations, headcount).
  • Ensure compliance with internal controls, SOX requirements, and relevant labor laws.
  • Collaborate with Finance and HR teams on reporting, audits, and ad hoc data requests.
  • Prepare and post payroll journal entries using Dayforce and other reporting tools.

    - Stay current on payroll legislation and benefit regulations to ensure ongoing compliance.
