Job description: Vaccine coordinator Reports To:  Director of Population Health Status:                   Full-Time, Non-Exempt   BACKGROUND: The Indian Health Center of Santa Clara Valley is a 501(c)3, nonprofit, community health clinic, located in San Jose, California. Besides having a highly talented medical and dental department, the Indian Health Center also has an outstanding counseling department, community wellness center and WIC (Women Infants and Children) department.   Position Summary:   The Vaccine Coordinator position reports to the Director of Population Health. Duties include managing, developing and improving the IHCSCV Immunization program. In addition, she/he will assists the physician(s) in preparing patients to be examined, and for setting up the examining rooms.  The IHC is a Patient Centered Health Home and all employees are an integral part of this model of care delivery.   Immunization Duties & Responsibilities: * Ensuring accurate Immunization inventory & ordering * Securing safe practices for vaccine storage & temperature tracking. * Working on various Immunization-related reports such as “pending vaccine”, vaccine usage”, “vaccine data loggers”,etc. * Assisting with pre-audit work as needed. * Conducting internal vaccine audits for various program improvements. * Actively participate in immunization recalls. * Knowledgeable in immunization schedules both regular & catch-up for both children & adults. * Participate/Support in staff trainings for continued improvements of skills & knowledge. * Attend internal and external immunization-related meetings. * Provide guidance to staff with special IZ programs such as VFA, VFC, Merck Vaccine Program, etc. * Assists compiling IZ reports for different funding/auditing agencies. * Annually recertify EZIZ lessons. * Assists with Flu clinics & other outreach efforts for vaccine compliancy in the community * Others IZ-related tasks as assigned.   General MA Duties & Responsibilities:   * Sets up the examining rooms and prepares patients to be seen by the medical provider * Performs routine back office clinical tasks as follows: 1. Vital signs, chief complaints 2. Simple Lab: Hct, UA, Pregnancy Tests, EKG and others as needed 3. Keeps instruments and examining rooms clean and orderly 4. Sterilizes instruments 5. Knowledgeable about daily procedures as per available protocols 6. Assisting providers during scope exams or procedures 7. Venipuncture * Assists in obtaining data or reports for keeping monthly statistics * Supervises the daily lab functions and ensures inventory is stocked. * Keeps the pharmacy room orderly and takes out outdated drugs on monthly basis * Assists in maintaining medical supplies * Attends regular staff meetings and supervisory meetings as needed * Assists patients with filling out questionnaires * Is knowledgeable about immunization schedules, and collects appropriate data for entry into the computer for follow-up of immunizations * Assists in the proper technique and recording of immunizations * Is knowledgeable about patient education handouts * Assists Triage Nurse/Back Office Supervisor in maintaining quality control of clinic functions * Assists Immunization Supervisor with quarterly IZ County and monthly usage reports * Performs all immunization data entry into MediTracks and CAIR * Attends County Quarterly Immunization meetings * Regularly monitor proper functionality of refrigerator and freezer by daily temperature checks and keeps quality assurance binders in order * Updates VIS statements * Is knowledgeable in current childhood, adolescent & adult immunization schedules, correct vaccine preparation, safe vaccine administration, positioning & comforting restraint measure for vaccination, proper equipment selection and labeling * Complies with all required documentation into patients charts of vaccine administration * Assists with internal Immunization audits for Quality Improvement projects * Performs reminder and recalls of children who are behind in their immunization schedules * Comply with IHC’s HIPAA and Privacy Policies * Participate as a proactive representative of the Patient Centered Health Home * Perform duties utilizing the Team-Based Approach * Performs other duties as assigned   Required Qualifications, Knowledge & Abilities: * High school degree or equivalent required with a current national registered medical assistant (NRCMA); Certified MA * Fluent in English/Spanish and computer skills a plus * Excellent organizational and customer service skills * Ability to follow written and oral instructions and learn new procedures quickly * Ability to stay calm while working quickly and with a high degree of accuracy * Flexibility, initiative, and reliability * Knowledge of and ability to work with the American Indian community and other minority populations * Ability to maintain strict confidentiality * Ability to function independently and as a team member within diverse environments as well as with a diverse staff composition * Demonstrated ability to perform multiple administrative functions simultaneously in an accurate, organized, and efficient manner * Ability to carry out all responsibilities in an honest, ethical and professional manner and demonstrate good judgment * Interest in and commitment to the mission of the Indian Health Center * Possession of a current California driver’s license and automobile insurance   Physical Requirements:  * Will be working in a fast paced non-profit community health clinic environment and must be able to: * sit, stand and walk for extensive periods of time; * lift up to 35 pounds; and * stoop, squat, or bend frequently * Possess the manual and finger dexterity as well as the eye-hand coordination sufficient to accomplish the duties associated with your job description * Ability to visually observe as well as hear and communicate with patients and professional staff * Ability to do extensive work on the computer and the telephone in communicating with staff, patients, and vendors   Working Conditions:   * Potential exposure to airborne and blood borne infectious diseases and pathogens *  Normal working hours will be from 8:00 am to 5:00 pm although hours may vary depending upon business need * Must be able to work independently and meet deadlines while also being an effective leader and collaborating with the agency-wide management team   Preference is given to qualified American Indians in accordance with the American Indian Alaskan Native Preference Act (Title 25, U.S. Code Sections 472, 473 and 473a).
