Description Position Information: The Variable Operations Administrator reports directly to the Customer Experience Manager and ensures that all Sales Deal documentation is processed timely and in compliance with Federal and State Laws. Successfully Maintain the following accountabilities Contracts in transit Compliance New and Used Vehicle Registration Maintain Titles and MSOs Duties and Responsibilities: Greet every customer, every day Maintain high ethical standards when dealing with customers, co-workers and vendors Put safety first. Adhere to all Safety Policies, Procedures and Personal Protective Equipment standards Maintain Title/MSO Files and communicate title status as needed. Follow up on outstanding Titles/MSO’s. Order duplicate Titles/MSO’s as needed. Process state paperwork including registration, sales tax payment. Make lien payoffs. Breakdown deals and submit contracts to bank for payment. Manage Contracts In Transit schedule to ensure proper cash flow. Approve timecards and payroll spreadsheet for Sales Drivers Ensure all bank stipulations are present and accurate including but not limited to: proof of income, proof of residence, proof previous loan paid off, etc. Monitor inventory forms levels (State, Thomas, product, etc.) order new ones when necessary. Manage Dead Deal file for mandatory compliance. Send out Adverse Action letters to all customers who applied for credit and did not receive approval. Open and accurately record incoming titles daily, according to established procedures. Troubleshooting and problem resolution specific to titles; odometer discrepancies, POA, etc. Maintains a high level of confidentiality. Maintain good working relationship with bank for auditing purposing and assist them with monthly audits. Maintain a safe and clean workspace, as well as ensuring the entire facility is orderly, clean and free of hazards Requirements Qualifications: High school diploma and/or equivalent. and one year office experience. PennDOT Agent Service Training required. Ability to read and comprehend instructions and information. Professional personal appearance. Excellent communication skills in person, on the telephone, and in writing. Working Conditions: Will work at a desk in an office setting for most duties. Will be trained on dealership computer programs.
