About the Role We are seeking a highly detail-oriented and adaptable Vault Specialist to join our Document Processing team. This individual will play a key role in safeguarding, organizing, and maintaining critical documents while supporting both the Titles and Records teams. This is a hands-on role where accuracy, consistency, and the ability to pivot quickly are essential. You will learn and support the daily workflows of two interconnected teams and ensure smooth operations within the vault and related document-handling functions. Prior title experience is preferred but not required. Key Responsibilities Maintain, organize, and monitor all physical and digital vault materials with exceptional attention to detail. File away documents accurately and efficiently within the vault. Pull and fulfill daily picklists to support processing needs across multiple teams. Support day-to-day operations for both the Titles and Records teams by learning and executing their core processes. Perform document intake, tracking, verification, filing, and auditing with a high degree of accuracy. Ensure all vault procedures align with security, compliance, and confidentiality standards. Collaborate with team members to troubleshoot issues and complete tasks in a fast-paced environment. Adapt to shifting priorities and help wherever needed to meet daily operational requirements. Assist in process improvements and uphold best practices within vault operations. What We’re Looking For Strong attention to detail and a commitment to accuracy. Ability to “go with the flow” and step into whatever task is needed each day. Proactive, dependable, and able to work independently once trained. Excellent organizational skills and ability to manage multiple tasks at once. Strong communication skills and willingness to collaborate with multiple teams. Prior experience in document handling, records management, or administrative support is a plus (but not required). Willingness to learn the workflows of both the Titles and Records teams.
