Paul Rigby Ltd is seeking an experienced Vehicle Administrator to join our team at Polestar covering 2 sites. As a premium car dealer group renowned for excellence, we take pride in delivering the highest quality standards to our valued customers. Due to continued growth, we are looking for a passionate individual with exceptional attention to detail, a proven track record of providing outstanding service, and a commitment to excellence. The successful candidate will play a key role in ensuring that all paperwork and compliance requirements are met efficiently.

Responsibilities:

  • Complete all relevant documentation for vehicle purchases.
  • Maintain accurate deal files with proper filing of all documents.
  • Prepare and finalise all sales invoices; verify against finance documents as required.
  • Ensure accuracy of handover documents, part exchange details, and warranty documentation.
  • Ensure that the sales teams follow administration guidelines and all paperwork is completed correctly.
  • Maintain an up-to-date Sales DOC (Daily Operating Control) spreadsheet.
  • Update V5C documents for all sold vehicles.
  • Administer vehicle warranties effectively.
  • Conduct due diligence for vehicle unit funding and prepare for routine audits.
  • Process vehicle purchase orders and create relevant job cards for aftersales purposes.
  • Invoice aftersales work to the correct internal departments.
  • Place orders for vehicle parts and accessories via email.

  • Demonstrates a high level of attention to detail.
  • Maintains a positive attitude and a logical, systematic approach to work.
  • Shows openness, honesty, and trustworthiness.
  • Manages time effectively and takes personal responsibility for tasks.
  • Possesses a great telephone manner and at least 1 year of experience in a similar role.
  • Has strong communication and active listening skills.
  • Experience with CRM systems is advantageous.
