Job Title: Validation Coordinator
Location: Irvine, CA (100% Onsite)
Schedule: Monday – Friday, 8:00 AM – 5:00 PM or 9:00 AM – 6:00 PM (with flexibility depending on business needs)

JOB SUMMARY:

We are seeking a highly organized and detail-oriented Validation Coordinator to support the development and execution of validation activities for our vehicle programs. This individual will play a pivotal role in ensuring streamlined testing operations through effective coordination, inventory management, and cross-functional collaboration.
In this role, you’ll serve as the operational backbone of validation efforts, working closely with Vehicle Hardware Engineering (VHE), Technical Program Management (TPM), New Product Introduction (NPI), external suppliers, and test labs. You’ll manage the logistics, documentation, scheduling, and data acquisition tools required to deliver high-quality testing outcomes.

QUALIFICATIONS:

  • Bachelor’s degree required
  • 3–5 years of experience in an administrative or coordination role, preferably supporting an engineering or testing team
  • Strong ability to prioritize tasks and manage time in a fast-paced, deadline-driven environment
  • Excellent verbal and written communication skills
  • High level of organization, attention to detail, and follow-through
  • Strong interpersonal skills and professionalism with a proactive, self-motivated work style
  • Intermediate to advanced proficiency in Google Workspace (Gmail, Sheets, Docs, Slides)
  • Experience with Jira and Confluence preferred
  • Comfortable using conferencing systems; Rivian uses Zoom
  • Adaptable and flexible with the ability to manage changing priorities with ease

Responsibilities
  • Act as a central liaison between VHE, TPM, and NPI teams for part and asset tracking related to testing activities
  • Monitor and report inventory levels of spare parts and consumables to ensure uninterrupted test execution
  • Coordinate logistics for shipping fixtures and test parts between Rivian and external testing laboratories
  • Organize and lead design review meetings, including scheduling, agenda management, meeting minutes, and follow-up on action items
  • Onboard and support suppliers in Rivian’s systems including Jira, external Google Drives, and documentation portals
  • Track and report invoice status and updates related to testing operations
  • Maintain the Body Work Space, including tool and equipment tracking, and identify opportunities for process improvements
  • Schedule calibration, maintenance, and repair of data acquisition equipment, ensuring all systems remain operational
