Description

Position Summary:
The Vendor Compliance & Contracts Administrator is responsible for ensuring that all vendor onboarding requirements, contracts, and insurance documentation are properly reviewed, documented, and maintained. This role works closely with department managers and service line leaders to track contract expiration dates, support contract renewals, and ensure compliance with organizational standards and legal requirements.
Key Responsibilities:

Vendor Onboarding & Compliance

  • Review vendor onboarding submissions to ensure all required documentation (e.g., contracts, W-9s, COIs) is complete and accurate.
  • Verify insurance certificates meet company requirements and are up-to-date.
  • Coordinate with vendors to obtain missing or expired documentation.
  • Maintain and update vendor records in the vendor management system.
  • Ensure compliance with internal procurement and legal policies.

Contract Management

  • Maintain a centralized contract database, including key dates, terms, and renewal cycles.
  • Review and track all contracts across service lines for accuracy, completeness, and compliance.
  • Monitor contract expiration and proactively notify managers of upcoming renewals.
  • Support the drafting and revision of contract templates in collaboration with legal and operations teams.- Assist department managers in updating scopes, terms, and service levels during contract renewals or changes.

Stakeholder Collaboration

  • Act as a liaison between operations, legal, procurement, and vendors during contract review and renewalprocesses.
  • Provide guidance to managers on contract terms, compliance standards, and onboarding policies.
  • Participate in process improvement initiatives to streamline vendor onboarding and contract tracking.

Qualifications:

  • 2-5 years of experience in contract administration, vendor management, or compliance (service industrypreferred).
  • Familiarity with insurance requirements (COIs, endorsements, liability limits).
  • Strong attention to detail, organizational, and follow-up skills.
  • Proficient in Microsoft Office and/or vendor management software (e.g., NetSuite, SAP, DocuSign,

Smartsheet).

  • Ability to interpret contract language and insurance documentation.
  • Excellent communication skills and ability to coordinate across departments.
