Description

Canyonwood Ridge & Amanda Blue Events LLC is looking for a part-time to full-time venue manager & coordinator to work 30 to 40 hours a week between 3-5 weddings a month (usually Thur-Sun). This is a hybrid role that allows you to work from home during the week with a few shifts in person at the venue.
Hours will be obtained on the weekends working events, performing office work during the week (answering emails and phone calls pertaining to the venue) and/or hours attending appointments such as bridals, vendor/client drop-ins, walkthroughs, opening shifts, etc. We occasionally have weddings Mon-Wed. Ideally the candidate is extremely detail oriented, has coordinating experience and can also coordinate 1-2 of these events a month running a timeline, overseeing setup, managing vendors, setting up personal decor, etc. or enjoys detailed office work and interacting with clients during the week.
The role provides flexibility to be able to work as a team to shape a schedule that works for all. You can pick and choose which events and tasks you’d like to take on but I would expect to work 1-2 events a week Thur-Sun; and we work together as a team to ensure responsibilities with the venue and our Clients are well taken care of.

  • Hybrid role: Hours will be obtained both working remote during the week, via appointments at the venue during the week and then on the weekends working events.
  • Oversee the daily operations of the venue for weddings, including managing staff, coordinating events, and ensuring customer satisfaction.Collaborate with event planners, vendors, and clients to plan and execute successful events.On average 1 event a weekend and 1 weekend off per month (Fri-Sun).
  • Event day hours are typically 12:00 pm to close but can be between 8 and 15 hours a day depending on hours desired by said manager. Currently our team prefers to do a long shift 1 day a weekend to enjoy another day in the weekend off.
  • For events you are responsible for, you will take your client through the following process:
  • Research client (look up prior email exchanges and read through notes provided)
  • Final Walkthrough (venue duties only / hours will vary depending on the client) typically during the week (it is possible for the walkthrough to be covered by a different manager if availability is only on the weekend)
  • Work the event day and ensure the venue’s success
  • Can pick up additional hours during the week doing office work (e.g. managing our team inbox, answering emails, etc.) or inside sales from home (optional)
  • Can pick up additional hours during the week covering appointments such as bridals, vendor/client drop-ins, walkthroughs, etc. at the venue (optional)
  • Optional additional hours on the weekends assisting our event coordination team on events (2nd coordinator on event days). These will be different from the event venue manager days and could result in working two events a weekend.
  • Opportunity to grow into a coordination role.
  • Attend weekly staff calls Tuesdays at 9:30 am (flexible)

Requirements

  • Previous experience in event industry, with a strong understanding of event operations is desired
  • Excellent time management skills to effectively prioritize tasks and meet deadlines in a fast-paced environment.
  • Strong attention to detail is a must. You must be organized.
  • Must be comfortable in excel, Google Drive and Google sheets.
  • Knowledge of catering operations and banquet services to provide exceptional dining experiences.
  • Exceptional communication skills to effectively interact with staff, clients, vendors, and event attendees.
