XL Event Lab is seeking a Venue Sourcing Manager to join our growing team of Event Professionals. The successful candidate will be responsible for managing relationships with our existing venue partners, developing relationships with new ones and filling the schedule for a variety of different entertainment events and properties produced by the company in North America, Europe and beyond.

REQUIRED QUALIFICATIONS

  • Proven experience in telephone-based sales or business development, ideally within the events, hospitality, or live entertainment industry.
  • Strong negotiation and deal-closing skills, with a track record of securing favorable terms and building lasting vendor relationships.
  • Excellent communication and interpersonal skills, with the ability to represent the company professionally and persuasively to external partners.
  • Highly organized and deadline-driven, with the ability to manage multiple venue negotiations and timelines across diverse markets.
  • Results-oriented mindset, with a focus on meeting performance targets, budget constraints, and procurement KPIs.
  • Analytical and detail-oriented, capable of evaluating venue proposals, contracts, and logistical requirements with precision.
  • Ability to thrive in a fast-paced, high-pressure environment and adjust quickly to shifting priorities or market changes.

PREFERRED SKILLS

  • Familiarity with event operations, production requirements, or logistics is a strong plus.
  • Proficiency with tools such as Microsoft Office, Google Workspace, and CRM or project management software (e.g., HubSpot, Monday.com, Asana).
  • Bachelor’s degree in Business, Event Management, Hospitality, or a related field (or equivalent professional experience).

Responsibilities

THE ROLE

This role is critical to the expansion of our events portfolio and requires a candidate with a strong combination of strategic scheduling, relationship building, and sales acumen to secure top-tier venues that align with our goals.
As the Venue Sourcing Manager, you will be responsible for evaluating, and contracting venues across multiple markets—ensuring each location meets logistical, budgetary, and brand requirements. You will work against firm deadlines and performance targets, using your negotiation skills to close favorable deals that contribute directly to the success of our company.
The ideal candidate has a background in sales or business development and thrives in a fast-paced, goal-driven environment. This role offers a competitive base salary with a performance-based bonus structure tied to key procurement milestones and cost-efficiency metrics.

PRIMARY RESPONSIBILITIES

  • Work closely with our Venue Outreach team to convert their venue prospects and leads.
  • Take the lead on all commercial and contractual negotiations with venues negotiating pricing, terms and deliverables in alignment with budget targets, brand standards and event objectives
  • Develop and maintain strong relationships with venue owners, operators, and key stakeholders to secure the best possible terms and availability.
  • Track sourcing progress and performance against deadlines and cost targets.
  • Maintain accurate records of all venue communications, proposals, and agreements in company systems and tools.
  • Support financial forecasting by providing accurate cost estimates and savings data for each secured venue.
  • Report regularly to leadership on procurement progress, risks, and opportunities to improve efficiency or reduce costs.
