The Carleton University Students Association is an incorporated, not-for-profit, student-run organization dedicated to enriching the undergraduate student experience through events, advocacy efforts, and services.  POSITION DESCRIPTION Position Title:          Vice President Finance / Treasurer Reports to:              CUSA President/CEO Department:            Executive Date Revised:         February 10th, 2025 Compensation:       Competitive with entry-level non-profit work at $43,000/year Contract Duration:  May 1st, 2026 - April 30th, 2027 Union:                     Not Unionized Hours:   * Full-time at 35 hours/week from May 1, 2026, to August 31, 2026 * Part-time at 25 hours/week from September 2, 2026, to April 30, 2027 _______________________________________________________________ OBJECTIVE OF THE POSITION The Vice President of Finance /Treasurer works collaboratively with the President/CEO and senior management to support the Board in achieving its fiduciary responsibilities, ensuring financial transparency, and promoting responsible financial stewardship within CUSA. Custody of Funds: * Maintain custody of all CUSA funds and securities, ensuring full and accurate accounting of all assets, liabilities, receipts, and disbursements. * Deposit all funds in designated financial institutions as determined by the Board. * Disburse funds as authorized, ensuring proper documentation and vouchers for all transactions. * Present monthly financial reports to the Board and prepare midterm and annual financial statements. * Lead the allocation of expenses during the annual budget creation with the President/CEO and Finance Manager. 2. CUSA Board: * Provide required notices and attend all Board and committee meetings. * Uphold high standards for Board conduct, focusing on fiduciary responsibilities and adherence to policies and bylaws. * Present financial updates on executive and business operations monthly. * Submit midterm and annual reports, including audited financial statements, at the Annual Meeting. 3. Student Funds: * Oversee CUSA’s student financial programs, including the Student Initiative Fund, Academic Resilience Fund, and Accessibility Fund. * Collaborate with the executives and full-time staff to secure sponsorships and grants. 4. Operations and Management: * Support CUSA businesses in development projects and special initiatives. * Collaborate with Business Managers and the Finance department to provide monthly financial reports. * Assist the Board in setting the annual CUSA Health and Dental Plan.  5. Supervisory Responsibilities: * Ensure a smooth transition for the incoming Vice President of Finance / Treasurer. * Create a comprehensive transition handbook to guide and support the incoming Vice President of Finance/Treasurer, detailing key processes, responsibilities, and best practices. PERFORMANCE INDICATORS (KPIS)  To measure success, the Vice President of Finance/Treasurer will be evaluated based on the following key performance indicators: 1. Financial Reporting & Compliance: * Ensure 100% of financial reports are submitted to the Board within 48 hours of scheduled deadlines. * Maintain accurate financial records, ensuring zero discrepancies in audits. 2. Budget Management: * Successfully manage and allocate funds, ensuring 95% adherence to the annual budget. * Facilitate timely completion of the annual budget by the start of the fiscal year. 3. Student Fund Oversight: * Ensure 100% of student funds (e.g., Student Initiative Fund) are allocated according to guidelines. * Increase external sponsorships and grants by 10% year-over-year. 4. Operational Support: * Provide monthly financial reports to CUSA Businesses and departments with at least 90% reporting accuracy. * Contribute to the successful execution of 2 business development projects annually. 5.  Financial Literacy Initiatives: * Organize and lead 3 financial literacy workshops or sessions annually to enhance student knowledge on budgeting, saving, and financial planning. ELIGIBILITY / QUALIFICATIONS / EXPERIENCE Minimum Requirements: * Must be a registered full-time or part-time undergraduate student at Carleton University for two consecutive semesters, including the application semester. * Must remain registered as a student throughout the term of office. * Previous CUSA Presidents or Vice Presidents are ineligible. * Strong organizational, communication, and interpersonal skills. * Ability to manage multiple projects and meet tight deadlines. * Availability to work in-person during regular business hours for the duration of the contract. Preferred Qualifications: * Familiarity with financial statements and the Not For Profit Corporations Act (2010). * Proficiency in Excel, Google Suite, and other financial management tools. * Prior experience in student government, finance, or non-profit organizations. * First Aid and CPR Training (an asset).
