Responsibilities

MAIN PURPOSE OF THE ROLE

The HR Solutions Operations & Resource Manager plays a critical role in ensuring smooth and effective people, process, and technology operations, including making sure that resources are effectively utilised to meet client and business needs.
The primary responsibility of the role is to ensure the right resources are working on the right projects at the right time, balancing client needs with HR Solutions consultant satisfaction and development. The Operations & Resource Manager will work closely with the Head of Global HR Solutions, the Global Portfolio Management Office, and HR Solutions leadership and team members.
Additional key responsibilities include managing the operations of the HR Solutions function by overseeing budgets, driving process improvements, implementing tools to enhance efficiency, and monitoring key performance indicators (KPIs) to ensure operational success.

KEY RESPONSIBILITIES

The successful candidate will have the following key responsibilities:

  • Lead resource allocation and scheduling for HR Solutions engagements with clients in GHR and the business. Engagement include: (1) strategic projects (e.g., transformation initiatives, new services / products, process improvement, regulatory programmes) and (2) cyclical process support (e.g., year-end processes, talent review)
  • Match consultants to projects based on their skills, experience, and availability
  • Ensure optimal utilisation of staff, balancing workloads across the team
  • Adjust staffing assignments dynamically based on changes in project priority, resource availability, and/or consultant development goals
  • Manage workforce planning
  • Forecast resource needs based on pipeline, upcoming projects, and client demands
  • Collaborate with the Head of Global HR Solutions and the HR Solutions Leadership Team to plan long-term staffing strategies
  • Identify gaps in resources (e.g., skills shortages) and propose hiring or training solutions
  • Help foster and manage relationships with HR Solutions consultants
  • Act as a liaison between HR Solutions consultants and leadership to align preferences, career goals, and project opportunities
  • Help address employee concerns about workload, career development, or project assignments
  • Support onboarding for new hires, ensuring smooth integration into engagements and teams
  • Own resource data management, analytics, and reporting
  • Track and analyse resource utilisation, hours, and staffing trends
  • Create reports for leadership on staffing metrics, including availability, utilisation, and forecasted capacity
  • Maintain accurate and up-to-date records in resource management systems
  • Collaborate with stakeholders to enable the HR Solutions operating model
  • Partner with Engagement Leads (HR Solutions Director level consultants) to understand project requirements, timelines, and client expectations
  • Work closely with Global Head of HR Solutions, HR Solutions Leadership Team, and the Global HRBP for HR to support recruitment, performance reviews, and skill development initiatives
  • Communicate with the HR leadership team to prioritise resource allocation based on strategic objectives
  • Ensure access to required engagement data for consultants in alignment with Global HR Data Privacy guidelines and MUFG protocols (e.g., enable access for HR Solutions consultants to talent data reports for the required timeframe to support a talent-related project or execution of a cyclical talent process such as talent review)
  • Provide resource management insights and contribute to strategic decision-making
  • Provide insights and recommendations on resource optimisation to improve productivity and efficiency
  • Contribute to decisions regarding hiring, skill development, and consultant role transitions
  • Monitor and mitigate risks related to underutilisation or overloading of consultants
  • Solve resourcing problems and challenges
  • Resolve conflicts in resource allocation, such as competing project demands or consultant preferences
  • Manage unforeseen challenges, such as sudden project changes, staffing or skills shortages, or consultant availability
  • Manage the operations of the HR Solutions function, including working with finance teams to manage budgets related to resources and operations and analysing financial data to recommend operational improvements
  • Continuously review and refine resource planning and operational processes
  • Introduce new processes, tools, and systems to streamline workflows, enhance productivity, and reduce costs
