PURPOSE OF POSITION The Vice President of 3(16) Fiduciary Services is a strategic leadership role responsible for overseeing the administration and fiduciary oversight of retirement plan operations in compliance with ERISA Section 3(16). This position ensures operational excellence, client satisfaction, and adherence to regulatory requirements while driving the growth and effectiveness of the 3(16) line of business. The VP will collaborate with internal teams, advisors, and plan sponsors to maintain high standards of service and mitigate fiduciary risk. This role will sit on the Service Leadership team and be required to address client escalations concerning 3(16) or other products. In addition, this role will be responsible for expanding on emerging service offerings such as Pooled Employer Plans (PEPs) or other industry relevant product offerings. PRIMARY DUTIES AND RESPONSIBILITIES Lead, develop and execute the strategic vision for the 3(16) Fiduciary Services Team and other emerging service offerings as assigned Lead and mentor a team, ensuring professional development and performance excellence Establish KPIs and monitor team performance to ensure service quality and compliance Serve as the primary authority for, and ensure timely completion of ERISA 3(16) fiduciary responsibilities, including plan administration, operational compliance, and timely filings Oversee the review and approval of plan transactions, distributions, and amendments in accordance with regulatory requirements Ensure adherence to Department of Labor (DOL) and IRS regulations, mitigating fiduciary risk for clients and the firm Establish and maintain policies, procedures, and workflows to ensure consistent and efficient delivery of services Collaborate with senior leadership to identify opportunities for service enhancements and business growth Drive continuous improvement initiatives to enhance efficiency and improve client experience Act as a subject matter expert for advisors, plan sponsors, and internal stakeholders on fiduciary responsibilities and best practices Resolve escalated client issues with professionalism and urgency Monitor regulatory changes and industry trends, updating policies and procedures accordingly Maintain accurate documentation and audit trails for all fiduciary activities Conduct regular team meetings, provide performance feedback, and foster a collaborative work environment Conduct regular client reviews to assess service satisfaction and identify opportunities for improvement Collaborate with sales and marketing to review and update marketing materials related to 3(16). Develop, manage, and monitor the fiduciary services department budget, ensuring alignment with organizational goals and cost efficiency Forecast resource needs and allocate funds to support operational priorities and growth initiatives Provide regular financial reporting and analysis to senior leadership Requirements COMPETENCIES REQUIRED Deep knowledge of ERISA, DOL regulations, and fiduciary standards Strong verbal and written communication skills and the ability to build rapport with others remotely while working productively with limited in-person interaction Proven ability to manage teams and complex operational processes Experience with recordkeeping platforms and compliance software Demonstrated experience in budget planning and financial management Demonstrate sound judgment when making decisions and operate with discretion and integrity Ability to assess issues as they arise, maintain composure under pressure, and develop thoughtful and appropriate responses EDUCATION AND QUALIFICATIONS High school diploma or GED required Bachelor’s degree in business, finance, or a related field preferred Industry certification (e.g., QKA, QPA, CPC, CRPS) preferred or willingness to obtain ASPPA QKA designation or NIPA equivalent Minimum of 8 years of experience in retirement plan administration, including 3(16) fiduciary services, with at least 5 years in people management Demonstrated leadership experience with a strong track record of managing teams and optimizing operational efficiency in dynamic, fast-paced environments REMOTE WORKING REQUIREMENTS As a remote-first company, we have compiled expectations for a successful remote work environment: Ability to build rapport with others remotely while working productively with limited in-person interaction Have access to a reliable and consistently strong, high-speed internet connection suitable for remote work.
