Who The Client Is: Our client is a design-led studio based in Australia, known for creating thoughtfully styled homes. Specializing in residential interiors and property styling, they blend modern aesthetics with comfort and functionality. With a personalized, end-to-end approach, they transform spaces into visually striking and emotionally engaging environments that truly reflect each client’s lifestyle. Role Overview: We are seeking a highly organised and detail-oriented Virtual Assistant to support our Australian design-led studio. This role will focus on bookkeeping, pricing schedules, and project coordination across multiple platforms, ensuring smooth operations and accurate documentation for our interior styling and design projects. Key Responsibilities: Bookkeeping Support (Xero) Assist with data entry, including supplier invoices, expenses, and receipts Provide basic reconciliation support and maintain accurate financial records Liaise with the internal team to ensure correct coding and allocation Pricing & Project Schedules Prepare and maintain itemised pricing schedules for interior styling projects Accurately input product selections, quantities, and pricing Ensure consistency between design selections and client-facing documentation Update schedules as projects evolve Design & Documentation Support (Canva) Assist in preparing client-facing documents, including furniture schedules, presentation decks, and branded templates Ensure all documents are visually consistent and aligned with brand standards Project Coordination (Asana / Monday.com) Support project tracking, task management, and workflow accuracy Update project statuses, timelines, and key milestones Assist with task allocation and follow-ups across projects General Admin Support Maintain organised digital files and folders Assist with documentation, process management, and general administrative tasks as required At least 1-2 years’ experience as a Virtual Assistant, providing support in bookkeeping, project coordination, and client-facing presentations. Must have experience using Xero Highly proficient in Excel, including use of advanced formulas, data validation and reporting to ensure accuracy across pricing schedules and project tracking Highly proficient in Asana or Monday.com, with the ability to manage multiple projects, track tasks, maintain timelines and ensure nothing is missed across workflows Strong working knowledge of Canva Exceptional attention to detail and accuracy Strong organisational and time management skills Ability to follow processes and work independently Ideal Candidate Experience working in design, styling, or property-related businesses (preferred) Experience working in bookkeeping Excellent communication skills Proactive, reliable, and systems-oriented
