Who The Client Is: A company that operates in the real estate industry, offering property sales, leasing, and management services for residential and commercial assets. They support clients through market insights, tailored marketing strategies, and personalised guidance to achieve successful property transactions. Role Overview: As a Virtual Assistant - Property Management, you will provide remote administrative and operational support to an on-the-ground property management team. This role focuses on backend assistance, including email support, documentation, coordination, and day-to-day administrative tasks that help streamline operations. You will work closely with property managers to reduce their workload, allowing them to focus on tenant and client-facing responsibilities while ensuring accurate records and efficient processes. Key Responsibilities: Assist on-the-ground property managers with drafting, organizing, and managing emails and internal correspondence for review and sending. Upload, organize, and maintain digital documents such as leases, renewals, notices, and assessments within the property management system. Log and coordinate maintenance requests internally, track progress, and update records without direct tenant or client communication. Maintain accurate and up-to-date property and tenancy records, including lease details, payment histories, and correspondence logs. Assist with rent tracking, payment records, billing support, and basic financial recordkeeping for internal use. Support leasing administration, including processing applications, preparing documentation, and coordinating schedules internally. Prepare and update property listings on approved online platforms as directed by the property management team. Draft internal templates, notices, reminders, and reports to support consistent communication workflows. Perform general administrative tasks such as calendar coordination, data entry, filing, reporting, and document management. Conduct basic research and compile information to support operational and decision-making needs. Required Skills and Qualifications: 2+ years of proven experience in property management support, administrative assistance, or similar roles. Good written communication skills in English, with the ability to draft clear and professional emails and documents. Organized and can multitask with strong attention to detail. Comfortable using property management software, Google Workspace or Microsoft Office, email platforms, and remote collaboration tools. Ability to prioritize tasks, work independently, and meet deadlines in a remote work environment. Professional, reliable, and supportive approach when working with on-the-ground teams. Reliable internet connection and a remote-ready workstation. Work Arrangement & Expectations: This is a remote role that will be set up as an independent contractor engagement.
