BrighterHire is partnering with a U.S.-based marketing and strategic alliances agency to hire a highly organized, detail-oriented Virtual Assistant to support senior leadership and internal teams. This role is ideal for someone who enjoys bringing structure to complex work, following through on details, and keeping projects and systems on track. You’ll work closely with leadership by managing information, tracking progress, and ensuring deadlines and processes are followed. What You’ll Be Responsible ForExecutive & Team Support Calendar management, meeting scheduling, and follow-ups Monitoring inboxes and drafting clear, professional emails Document creation, formatting, and light editing (Word, PowerPoint, Excel) Project & Operations Support Tracking tasks, deadlines, and deliverables across active projects Following up with team members to ensure deadlines and systems are followed Collecting status updates and internal tracking reports Analyzing time-tracking data and producing weekly summaries Creating high-level progress updates and next-step summaries for leadership Maintaining simple trackers and reporting dashboards Systems, Subscriptions & Data Managing and monitoring software and service subscriptions Identifying unused or underutilized tools and recommending cost savings Tracking renewal dates and flagging upcoming charges Supporting CRM and lead database updates Managing and updating contact data in Apollo Assisting with list building, contact research, and outbound preparation AI & Tools Using AI tools (ChatGPT, Copilot, Canva, etc.) for drafting, summaries, and research Recommending AI tools or workflows to improve efficiency General Support Expense reporting and auditing on behalf of leadership Coordinating with internal team members and external partners Providing general administrative and operational support as needed What We’re Looking For Prior experience as a Virtual Assistant or in an administrative/operations support role Excellent written English communication skills Strong organizational skills and attention to detail Ability to work independently and manage multiple priorities Comfortable following up with others professionally and consistently Experience using AI tools for drafting, summarizing, or research Familiarity with Apollo or similar CRM/prospecting tools Comfortable reviewing subscription usage and performing basic cost analysis Proficient with Microsoft Office and task/project management tools Reliable internet connection and consistent availability during CST hours Hours & Schedule This role is 20-30 hours per week Schedule will align with U.S. Central Time (CST) business hours Consistent daily availability is required (exact schedule to be finalized with the selected candidate) Work from the comfort of your own home $8–$10/hour (USD)
