The Personal Assistant will play a crucial role in supporting our operations through a variety of administrative and executive tasks. The ideal candidate is someone who is sharp, resourceful, and can grasp concepts quickly. An ability to efficiently multitask, prioritize responsibilities, and manage time effectively while maintaining high standards of accuracy and organization is essential.

REQUIREMENTS:

  • Proven experience as a Personal Assistant or in a similar administrative role.
  • Exceptional organizational skills and attention to detail.
  • Ability to quickly understand and execute tasks with minimal supervision.
  • Excellent problem-solving skills, with a knack for utilizing various resources to find solutions.
  • Strong communication skills, both written and verbal, and comfortable asking questions to ensure clarity.
  • Proficient in basic computer skills, including Excel, Google Suite, Meet, Zoom, etc.
  • Flexible and adaptable, able to handle various tasks as they arise.
  • Experience with AI tools and technologies preferred.
  • Must be available to work within the Eastern Standard Time (EST) zone.
Responsibilities
  • Reconciliation Tasks: Verify bookings against actual attendees and payments, ensuring accuracy and resolving discrepancies.
  • Social Media Management: Post job ads and item advertisements on Facebook, and handle other social media responsibilities as needed.
  • Email Correspondence: Manage and respond to emails promptly, ensuring clear and professional communication.
  • Calendar Management: Schedule interviews, meetings, and manage the executive’s calendar, including reminders for important dates and commitments.
  • Research and Planning: Conduct research for flights, accommodations, purchases, etc., presenting the best options for decision-making.
  • Bill Management and Personal Tasks: Oversee and manage personal information, bills, and other personal tasks as required.
  • Administrative Support: Assist with various administrative tasks, including but not limited to handling social media, leveraging AI tools for efficiency, and any other tasks as they arise on a case-by-case basis.
