This role blends executive support, communication management, and personal assistance to ensure seamless day-to-day operations. The ideal candidate will serve as a strategic gatekeeper, manage time effectively using the Entrepreneurial Time System (ETS), and provide both professional and personal support with discretion and efficiency. Key Responsibilities Executive Support Manage the owner’s calendar using ETS principles to prioritize strategic work blocks and buffer time. Schedule internal and external meetings aligned with business objectives. Proactively screen, filter, and respond to email correspondence; ensure inbox is action-oriented and uncluttered. Arrange travel logistics (flights, hotels, local transport) and prepare itineraries. Communication & Coordination Prepare meeting agendas, compile briefing notes, and draft follow-up summaries. Serve as liaison for internal team communications; relay updates and drive clarity on owner directives and projects. Personal Support Schedule and track personal tasks (e.g., medical appointments, family logistics, errands). Oversee personal bill payments, subscription renewals, and household vendor coordination. Administrative & Financial Tasks Maintain and organize digital files and records. Monitor closing documents and confidential owner-level documents and information. 3+ years in a high-level Executive Assistant or Virtual Assistant role supporting a CEO or entrepreneur. Exceptional written and verbal communication skills. Highly proficient with Google Workspace, Slack, and Zoom; familiarity with Pipedrive and Smartsheet is a plus. Strong aptitude for adopting AI tools (e.g., Notion AI, ChatGPT, Otter, or similar). Experience handling confidential matters and sensitive financial data. Demonstrated ability to manage competing priorities and protect executive bandwidth. Familiarity with the Entrepreneurial Time System (ETS) is preferred; training will be provided if needed.
