About the Role
Mint Group Solutions is a growing Labour Hire & Security company based in Sydney. We’re seeking a high-performing, ultra-organised Virtual Assistant to directly support our CEO and rostering team in a hybrid role.
This is not just admin support — we need someone who can build systems, follow up leads, and keep operations running smoothly. You’ll be hands-on with HubSpot, ConnectTeam, and Google Drive, working closely with our CEO both remotely and in person when required.
Key Responsibilities
· Respond to inbound enquiries and follow up with warm leads
· Manage and maintain the CEO’s calendar and meeting bookings
· Set up and optimise HubSpot CRM – pipelines, automations, tags
· Organise team folders and files in Google Drive
· Support rostering and shift management using ConnectTeam
· Draft and send professional follow-up emails
· Implement light automations, reminders, and task systems
· Create weekly admin summaries or simple reports
What We’re Looking For
· Proven experience as a VA, EA, Admin Coordinator or similar
· Skilled at setting up and managing CRMs and digital systems
· Excellent written and verbal communication

· Confident using:

  • HubSpot CRM
  • Google Workspace (Drive, Docs, Sheets)
  • ConnectTeam (or similar)

· Must be Sydney-based (hybrid role with occasional in-person meetings)
· Organised, responsive, and proactive
Nice to Have
· Experience in labour hire, recruitment or security industry
· Familiarity with Canva, Notion, or scheduling platforms
· Ability to suggest and implement improved systems and workflows

Hours & Flexibility

  • 5–10 hours per week to start
  • Flexible hours, but must align with AEST and allow for in-person meetings as needed
