POSITION OVERVIEW

We are in search of a dynamic virtual office manager to support our team & directors remotely and in Frankfurt, Germany. This role is essential for ensuring seamless administrative operations and boosting organizational effectiveness. You will embody the welcoming spirit that defines our workplace, setting a positive tone that influences both our internal atmosphere and our external interactions. Your commitment and warmth are crucial in nurturing our culture of collaboration and open communication.

REQUIREMENTS

  • Confident demeanor with internal and external stakeholders, combined with excellent communication skills in English and German at all levels.
  • Previous experience in project management, office management or personal assistance with a fondness for interface work.
  • Strong organizational skills & ability to work independently.
  • Proficiency with Office applications.
  • Solid commercial and business management knowledge, including proposal preparation, project calculation.
  • Highly professional work ethic, especially in handling confidential information.
Responsibilities
  • Provide administrative and organizational support to our CEO and CTO
  • Coordinate and schedule appointments, manage correspondence with both internal and external stakeholders.
  • Prepare, organize, and follow up on meetings, ensuring meticulous record-keeping.
  • Independently plan and coordinate appointments, travel, meetings, and events, actively contributing to the conceptualization.
  • Handle the preparation and execution of department initiatives, events, workshops, and presentations, and participate in the planning and implementation of internal projects.
  • Create and maintain materials for executive management, investor relations, and presentations for public appearances.
  • Manage and process vacation requests.
  • Prepare onboarding materials and facilitate the integration of new employees.
