OVERVIEW

The Ferrara Team @ Keller Williams is seeking a highly organized, proactive, and results-driven Virtual Operations Manager to oversee and optimize the daily operations of multiple business lines: sales team operations, probate referral business, and a growing team of virtual assistants (VAs).
This role is pivotal in ensuring that systems run smoothly, agents and clients receive top-level support, and the business continues to scale efficiently. The ideal candidate is a self-starter, detail-oriented leader who thrives in managing people, processes, and technology in a fast-paced real estate environment.

QUALIFICATIONS

  • Proven experience in operations, business management, or project management (real estate experience preferred).
  • Experience managing virtual teams.
  • Strong tech skills: CRM platforms (Follow Up Boss or similar), project management tools (Trello, Asana, ClickUp), and dialers.
  • Excellent communication and leadership skills.
  • Highly organized, detail-oriented, and proactive problem-solver.
  • Based in the U.S., able to work standard business hours EST.

Responsibilities

SYSTEMS & ACCOUNTABILITY

  • Own Trello, Follow Up Boss, Mojo Dialer, and other platforms to ensure tasks are completed and data is clean.
  • Run weekly reports for Ron on VA productivity, sales pipeline status, and probate referrals.
  • Continuously improve systems and processes to eliminate inefficiencies.
