Description

We are seeking a highly organized and detail-oriented Volunteer Administrative Assistant to join our team. The ideal candidate will play a crucial role in supporting daily operations by managing administrative tasks, ensuring efficient office procedures, and providing excellent customer service. This is an unpaid volunteering position. Some in-person attendance to meetings and events in St. Thomas is required.

Duties

  • Manage virtual operations, including contacting community members and answering phone calls and messages with professionalism and courtesy.
  • Perform data entry tasks accurately and efficiently, maintaining up-to-date records and files.
  • Assist in the preparation of documents, reports, and presentations, ensuring all materials are proofread for accuracy.
  • Organize and maintain electronic filing systems to ensure easy access to important documents.
  • Collaborate with team members to streamline office processes and improve overall efficiency.
  • Provide support for scheduling appointments and managing calendars as needed.
  • Handle correspondence, including emails and memos, ensuring timely responses to inquiries.

Qualifications

  • Previous experience in an administrative office setting is preferred but not required.
  • Proficiency in Google Suite applications (Docs, Sheets, Drive) is essential.
  • Strong proofreading skills with an eye for detail to ensure accuracy in all documentation.
  • Excellent phone etiquette and interpersonal skills to communicate effectively with clients and team members.
  • Ability to manage multiple tasks simultaneously while maintaining a high level of organization.
  • Strong data entry skills with a focus on accuracy and attention to detail.
  • A proactive attitude towards problem-solving and a willingness to learn new skills.
  • Spanish language is an asset. Some in-person attendance to meetings and events in St. Thomas is required.
