JOB SUMMARY

The Volunteer and Resource Development Coordinator is responsible for the development, administration and coordination of fundraising, communications, and volunteer activities for Elizabeth Fry Toronto. This creative position coordinates community relations, creates communication materials, including social media posts, processes donations, and oversees fundraising efforts and tasks.
The Volunteer and Resource Development Coordinator will adhere to the agency’s values and service standards as well as program delivery and evaluation framework. The ideal candidate will brings a sharp feminist and anti- oppressive lens to the work, along with a commitment to community-centric fundraising and resource development that can help women and non-binary people break the cycles of criminalization and victimization in their lives.

Working within the mandated protocols, the Volunteer and Resource Development Coordinator will be required to fulfill the following core duties:

  • Source and recruit diverse pool of volunteers and student placements to support agency programs using varies recruiting techniques.
  • Engage in community outreach and community development efforts to build partnerships and resources to support the agency’s volunteer programs and activities.
  • Develop and implement orientation and ongoing training of volunteers and student placements
  • Maintain information on volunteer qualifications and skills in alignment with agency needs
  • Manage volunteer schedules
  • Assign responsibilities to volunteers and student placements as appropriate
  • Ensure ongoing and regular communication with volunteers and student placements (face –to face and /or virtual)
  • Maintain up-date records on all volunteers and their work
  • Track, evaluate and provide ongoing constructive feedback to volunteers about their work
  • Provide reports to direct supervisor and program managers on volunteer’s activities as needed.
  • Develop and implements a volunteer recognition program.
  • Manage all social media presence and communication for the organization, including content development, posting and monitoring audience/stakeholder engagement.
  • Maintains ongoing social media initiatives and identifies opportunities to create new communication campaigns.
  • Creates basic graphics for our social media channels using Canva.
  • Compile, edit and review information for the Annual Report and coordinates printing and mailing activities.
  • Updates and coordinates the printing activity for a variety of promotional materials and organizational documents (i.e. brochures, Fact Sheets, program guides).
  • Ensures Elizabeth Fry Toronto’s events and activities are captured by photography.
  • Provides internal communication support, including writing all-staff emails and other communication materials.
  • Maintains donor database and donor lists, ensuring confidentiality and security of donor information.
  • Processes donations and donation payments, receipts and acknowledgements, identifies issues and takes corrective actions.
  • Coordinate and facilitate in-kind donations solicitation, liaising with external vendors and companies to secure supplies for our clients and community outreach programs.
  • Provides support to the Finance and administration Department with monthly internal donation reporting and reconciliation.
  • Respond to donation and supporter inquiries via email and phone.
  • Maintains communication and information with outside vendors/organizations such as United Way, Canada Helps, Eventbrite, and Mailchimp.
  • Leads the yearly United Way Employee Campaign and other fundraising engagement campaigns.
  • Coordinates, organizes and facilitates yearly virtual/in-person Annual General Meeting, including arranging event details like venue, guest lists, speaker invitations, menu/catering, set up and clean-up.
  • Identifies new donor and foundation prospects, including support for the Development and Communication Manager on grant proposals, in-kind donation and solicitation letters.
  • Coordinate the mailing of foundation solicitations.
  • Coordinate the production of direct mail campaigns including writing content, generating mailing lists and coordinating with printer.
  • Engages with current donors to solicit feedback, invite to events and update them on organizational activities.
  • Supports and maintains relationship with third-party fundraising groups.
  • Coordinates client speakers for external funder/donor events.
  • Participate on internal and external committees, sharing information, identifying goals and resolving problems.
  • Participate in on going professional development and assist in the orientation and training of new staff, students, peers and volunteers.
  • Attend all agency wide and team meetings to stay current with agency plans.
  • Maintains the confidentiality and security of client and agency related information.
  • Comply with agency Health & Safety plan.
  • Comply with agency policies and procedures.
  • Apply gender-responsive, anti-racist and anti-oppressive approaches to work.
  • Performs other tasks as assigned by management.

QUALIFICATIONS AND SKILLS

  • Post-secondary Degree or diploma in relevant discipline, coupled with related community – based/ social services work experience.
  • 1-3 years of experience working in communications, fundraising or in volunteer coordination.
  • Excellent written and verbal communications skills and Client service oriented with solid teamwork abilities.
  • Demonstrated awareness of the areas of indigenous and community health and wellness, mental health, trauma and addictions, homelessness and violence against women.
  • Demonstrated commitment to feminist, anti-oppression, anti-racist and harm reduction principles, specially, an analysis of the intersections or colonialism, anti- black racism, misogyny, transphobia, trans misogyny and the criminal justice system.
  • Willingness to work with people that have been criminalized, and an understanding of the issues of criminalization as they apply specifically to Indigenous, Black and trans women and non- binary people.
  • Understanding gender issues, gender based violence, and the importance of approach to all work within our organization, including ability to apply equity and inclusion principles to all communication.
  • Experience with social media tools and community management (i.e. Instagram, Twitter, Facebook, LinkedIn, and YouTube).
  • Strong relationship management skills, and the ability to interact and work professionally and effectively with staff, clients, vendors and stakeholders.
  • Excellent technical skills (Microsoft Office products, Google suite, Wix, DonorPerfect, production/presentation software and new technologies).
  • Basic experiences with graphic design (Canva, Adobe Photoshop, etc.), photo, video and audio production/editing.
  • Ability to work independently and collaboratively with a flexible attitude and ability to handle disruptions.
  • Valid driver’s licence and access to a car as assent
  • Bilingual in French and/or any other language is an asset.
  • Experience working with marginalized populations and non-profits is an asset.
  • Please note that this job is in-person with a limited amount of remote work.
