ABOUT US:
The Alzheimer Society of York Region (AS York) helps improve the quality of life for people diagnosed with Alzheimer’s disease and related diseases. We provide supportive counselling and education opportunities for individuals and families living with dementia. AS York also provide respite to caregivers and social activities for persons diagnosed with cognitive impairment through our D.A.Y. Centers. A non-profit, community-based agency, AS York offers programs and works in partnership with several community organizations across the Region.
The Alzheimer Society of York Region is seeking an enthusiastic and resourceful Volunteer Coordinator to join our Administration Team. The successful candidate will report to Human Resources Generalist.
POSITION SUMMARY:
This role is responsible for the delivery of the organization’s volunteer programs and services. This includes working directly with volunteers, and/or providing guidance, support, resources, and tools to staff who supervise volunteers.
QUALIFICATIONS:
- Post-secondary education in Volunteer Management or related field.
- An equivalent combination of education and experience will also be considered.
- 3 years related experience including previous volunteer management, event planning and program development experience.
- Other Knowledge, Skills, Abilities or Certifications:
- Comfortable meeting and liaising with volunteers, community partners, donors and participants of events.
- Excellent computer literacy, and proficiency in Microsoft Office applications
- Experience using a Volunteer Management System (Better Impact)
- Strong coordination skills and attention to detail
- Ability to work under pressure, to meet deadlines and juggle competing priorities
- Excellent conversational and interpersonal skills
- Willing to work some evenings and weekends when necessary

Establish goals and objectives for the volunteer program in alignment with the organization’s mission.
- Advocate for the importance or value of volunteer engagement among internal and external stakeholders.
- Promote volunteer opportunities and contributions through partnerships, outreach, and communication.
- Develop and implement volunteer screening protocols to ensure optimal alignment between volunteer skills, qualifications, and organizational needs. Conduct departmental needs assessments to identify skill gaps and created targeted volunteer job descriptions accordingly.
- Recruit and screen (application, interview, references, police checks) the potential or prospective volunteers.
- Train and support volunteers for programs and special events.
- Developed and facilitate ongoing volunteer orientation and tailored training sessions to ensure clarity of roles, responsibilities, and organizational expectations.
- Coordinate volunteer recruitment for the IG Wealth Management Walk for Alzheimer’s event day volunteers and other annual community and program events.
- Coordinate administration support– volunteer packages, phone calls, data entry, and marketing related materials, etc.
- Ensure volunteers are recognized, including but not limited to annual appreciation event, volunteer awards individual check-ins, and educational opportunities.
- Maintain confidential, accurate and current volunteer records, including complete and thorough documentation for each client contact, in compliance with relevant privacy legislation and in accordance with professional standards and internal policies.
- Develop and implement goals and objectives for the Volunteer Program which reflect the mission of the organization.
- Collect relevant volunteer program statistics for KPI’s and provide progress reports to board. Board reports on the progress of the Volunteer Program.
- Conduct annual volunteer reviews as required under department policy.
- Develop, manage, and evaluate retention strategies for Volunteer Program.
- Assist in the development, implementation, and maintenance of volunteer policies and procedures.
- Communicate policies effectively to staff across the organization
- Conduct exit interviews and volunteer feedback surveys; provide support during volunteer transitions
- Deliver training sessions for both volunteers and staff who supervise or manage volunteers, ensuring consistency in expectations and practices
- Serve as the primary point of contact for all volunteers, addressing questions, concerns, and issues in a timely and supportive manne
