This role ensures that NAB’s headquarters operates efficiently, sustainably and in alignment with the organization’s operational and financial goals. The VP, Administration partners closely with senior leadership to deliver a high-quality workplace experience for employees and visitors, while maximizing the value and utilization of NAB’s Conference Center through strategic oversight and business development. This position reports to the Chief Financial Officer and Executive Vice President, Operations. The Administrative team plays a critical role in shaping this experience. From maintaining a best-in-class, LEED-certified facility to delivering seamless events and services through the NAB Conference Center, the team ensures every detail supports our mission and elevates our brand. As Vice President, Administration, you will lead this effort of driving operational excellence, fostering strong partnerships and identifying opportunities to enhance both the employee experience and organizational impact. Key Responsibilities: Administration Leadership * Lead the planning and oversight of administrative services supporting NAB’s office operations. * Establish and communicate policies and procedures related to facilities, workplace operations and visitor management. * Partner with senior leadership to align administrative services with organizational priorities. Property and Facilities Oversight * Serve as the primary liaison between NAB and the property management firm overseeing building operations. * Oversee preventive maintenance, engineering, custodial services, security and compliance with building codes and environmental standards. * Maintain Class A operational standards consistent with LEED certification and sustainability goals. * Oversee workplace services including reception, access and parking, meeting and conference room scheduling, event coordination, space planning, office moves and employee amenities. * Monitor property management performance through KPIs and tenant satisfaction metrics. Conference Center Management and Business Development * Oversee daily operations of the NAB Conference Center, ensuring exceptional service delivery. * Develop and execute strategies to maximize utilization and revenue through marketing, programming and partnerships. * Collaborate with internal teams and external partners to host meetings, conferences and high-profile events. * Manage vendor relationships for catering, audiovisual services, event setup and facility support. * Establish and maintain operational standards and procedures for consistent service excellence. Budget and Financial Management * Partner with finance and property management to develop and manage operating and capital budgets. * Review and approve expenses, contracts and capital investments. * Identify opportunities for efficiency and cost savings while maintaining high service standards. Capital Projects and Facility Improvements * Evaluate and lead capital improvement projects for NAB offices and the Conference Center. * Manage approval processes and stakeholder coordination for tenant improvements and upgrades. * Oversee project execution with architects, engineers, contractors and property management partners. Safety, Security and Compliance * Lead emergency preparedness, business continuity and workplace safety initiatives. * Partner with security and Talent and Culture on building access and safety policies. * Ensure compliance with all applicable regulations and standards. Stakeholder and Vendor Management * Manage relationships with property management, vendors, brokers and service providers. * Serve as a key point of contact for building stakeholders and partners. * Identify and pursue opportunities that support long-term asset value and revenue generation. * Perform other duties as assigned. Qualifications: Required * Four-year degree, preferably in Business Administration, Facilities Management, Real Estate, Hospitality Management or related field. * 10+ years of related experience, ideally in facilities management, property operations, venue management or administrative leadership. Demonstrated experience overseeing Class A commercial office environments or similar complex facilities preferred. * Demonstrated operational leadership skills with the ability to independently manage multiple priorities, workstreams and stakeholders in a fast-paced environment. Experience managing property management firms is preferred. * Financial acumen with proven track record of budget management, including operating and ideally capital budgets. * Demonstrated operational leadership and organizational management skills. * Excellent communication, negotiation and relationship management skills. * Proficiency with Microsoft Office Suite and administrative or facility management systems. Preferred: * Experience overseeing conference centers, event venues or hospitality operations, including revenue generation and business development efforts. * Familiarity with LEED-certified buildings and sustainability practices. * Experience managing capital projects, renovations or tenant improvements. Work Environment and Availability: This position operates in a professional office environment with a hybrid schedule which includes at least three days in the Washington D.C. office.
