Description:
We have an exciting opportunity for a Full ( 37.5hr) or Part Time (22.5hr) Ward Administrator.
You will join the CNWL Inpatient Administrator Team based in St Pancras Rehabilitation Unit (SPRU). We are a rehabilitation unit with 3 wards and admit patients from throughout NCL. We have 53 beds for adults aged 18 and over and we provide comprehensive rehabilitation assessment and support for those admitted to our service. We all work together to improve the experience of all patients and improve their journey to recovery.

You will be involved in providing a full range of administrative duties to support the delivery of a high quality service by the SPRU team. The post holder will need to develop an understanding of service objectives and support the team in in carrying out their duties effectively. This will range from taking calls from patients and their families, arranging appointments, transport and supporting the role out of Systmone in the Unit. There will be a range of other shared administrative duties. The post holder will be required to work closely with the Ward Manager in supporting the clinical team. You will require good IT skills and a working knowledge of the use of Microsoft Office software – Word, Excel, Power point and electronic patient records.
The post holder will receive regular supervision and support from the Ward Manager as well as from Senior Administrator. The unit has close links with Acute and community providers.
This post is highly suitable for an applicant who is working at similar grade in the NHS or for those currently working in a non-NHS setting with aspirations to enter into Health service administration.
The post is based on St Pancras Rehabilitation Unit. The successful post holder will join a 7 day rota which will include weekend working between the hours of 9 am - 5 pm.

Responsibilities:
To provide administrative support for the ward and multi-disciplinary team:
To ensure that all relevant documentation is ready for patient admission, ie; Welcome Pack, paper lite notes , Patient labels including door and bed; and to work in conjunction with the Ward Housekeepers ensuring name plates for lockers and bays are printed and accurate.
To meet and greet patients including issuing the SPRU Information Booklet and Choice policy documents and confirming demographics are uploaded on Systmone.
To ensure specimens for testing are sent to the laboratory in a timely manner, and that patient results received are drawn to the attention of the appropriate member of the MDT for action, and subsequently filed in patient notes.
To participate in maintaining up to date display of health promotion/literature as directed, and to ensure that all Ward Communication / Notice Boards are maintained to a high standard with current, relevant and up to date information.
To ensure administrative arrangements for discharge are planned and co-ordinated; ie: booking transport and outpatient appointments as directed by the Ward Manager or qualified member of the MDT. E-mailing of discharge summaries to GP and other interested parties in a timely manner.
Ensure that activity data is entered accurately and within the agreed timescales; upload all documentation from MDT meetings to System One.
To attend and minute ward / team meetings as required.
To be aware and report all hazards to the nurse in charge or to the Support Services Manager as appropriate.
To attend the weekly ward “walks” with the Site Services team and escalate any outstanding repairs to the Operational Manager.
To undertake photocopying and distribution of documents, processing of correspondence and general clerical duties as required
To report all accidents and incidents promptly to the nurse in charge and to the CSM office, completing relevant documentation before leaving ward.
To collect and deliver newspapers and daily post to Wards.
To maintain minimum levels of stationery, uniforms and equipment for the wards and as directed, ensuring all items are then receipted upon delivery.
To participate in in-service training as identified through appraisal or in line with Service/Camden Community requirements.
Complete regular archiving of patient notes in line with trust policies and procedures.
Participate in the Staff Appraisal system
Contribute to improving the procedural / practice within the Ward Admin service.
Undertake any other tasks as required commensurate with grade E.g Supporting with community referral processing and querie
