Description Warehouse Administrative Assistant (Building Materials Distribution) Job Summary: The Warehouse Administrative Assistant supports daily operations in a building materials distribution center by managing documentation, coordinating shipments of materials such as lumber, plywood, and construction supplies, and ensuring accurate inventory and order processing. This role is critical in maintaining efficient communication between warehouse staff, drivers, vendors, and customers in a fast-paced, heavy materials environment. Key Responsibilities: Process and verify orders for building materials (lumber, panels, doors, trim, etc.) Prepare shipping documents, delivery tickets, bills of lading, and invoices Coordinate inbound and outbound shipments, including scheduling deliveries and pickups Communicate with contractors, vendors, and drivers regarding order status and delivery details Maintain accurate inventory records and assist with cycle counts and audits Enter data into ERP/WMS systems for orders, inventory, and shipments Track backorders, shortages, and damaged materials and report issues promptly Organize and maintain records for purchase orders, load sheets, and delivery logs Assist dispatch with routing and delivery scheduling Answer calls and emails related to orders, availability, and logistics Ensure compliance with company policies, safety standards, and DOT-related documentation Work Environment: Distribution center handling heavy building materials Combination of office work and time spent on the warehouse floor Exposure to dust, noise, and outdoor conditions at times Frequent interaction with drivers, forklift operators, and yard personnel Compensation for this role ranges from $20-$25 hourly Requirements Qualifications: High school diploma or equivalent required Experience in warehouse, logistics, or building materials industry preferred Familiarity with construction materials and terminology is a strong plus Strong attention to detail and ability to handle high-volume paperwork Proficiency in Microsoft Office (especially Excel) Experience with ERP or warehouse systems (e.g., WMS, SAP, or similar) Excellent communication and customer service skills Ability to work in a fast-paced, deadline-driven environment
