Responsibilities

ABOUT THE ROLE:

As a Warehouse Administrator, you will be the backbone of our distribution operations. Based in Truganina your primary responsibility will be to ensure accurate stock receipting, order processing, and inventory management through our Warehouse Management System (WMS) and ERP (AP21) platforms. You will work closely with inbound teams, warehouse operators, and internal departments to support the smooth flow of goods from receipt to dispatch.

YOUR KEY RESPONSIBILITIES WILL INCLUDE:

  • Stock Receipting:

Accurately receipt stock into the WMS following inbound team checks, ensuring all items are logged correctly and timely.

  • System Reconciliation:

Maintain data integrity by reconciling WMS and ERP systems, ensuring all receipt files and shipments processed in the WMS are mirrored correctly in AP21.

  • Order Release & Fulfillment:

Manage order releases in the WMS for pick and pack operations, prioritising orders based on due dates to ensure timely fulfillment.

  • Freight Booking:

Coordinate and book-in freight for wholesale major customers, liaising directly with carriers and ensuring smooth inbound logistics.

  • Cycle Counts & Inventory Control:

Run frequent cycle count reports to identify shortages or discrepancies and ensure all pick faces are accurately stocked.

  • Mailroom Management:

Oversee the mailroom, including handling and dispatching store promotional prints to ensure all retail locations receive accurate and timely promotional materials.

  • Cross-Functional Collaboration:

Work alongside procurement, customer service, and store operations teams to support inventory replenishment and warehouse fulfillment needs.

  • Reporting & KPI Tracking:

Assist with compiling warehouse reports, tracking key performance indicators (KPIs), and maintaining accurate data entry for operational transparency.

TO SUCCEED IN THIS ROLE, YOU WILL NEED TO HAVE THE FOLLOWING:

  • Proven experience in warehouse coordination, inventory administration, or related logistics roles.
  • Strong familiarity with Warehouse Management Systems (WMS) and ERP platforms (preferably AP21).
  • Solid understanding of retail distribution and warehouse operations.
  • Experience with shipping platforms and logistics booking systems.
  • Exceptional attention to detail and commitment to accuracy.
  • Excellent organisational and time-management skills to manage multiple priorities.
  • Strong communication skills, able to collaborate effectively across warehouse and office teams.
  • Proficiency in Microsoft Excel and Outlook for reporting and communication purposes.
