JOB OVERVIEW:

We are looking for a detail-oriented and experienced Warehouse Coordinator with a strong background in the automobile industry and sound knowledge in mechanical systems to join our Spare Parts Department. The ideal candidate will be responsible for managing inventory, coordinating with various teams, ensuring timely dispatch, and maintaining accurate records for spare parts shipments. This role requires hands-on experience with computer systems and a strong understanding of warehouse operations in the automotive sector.

Key Responsibilities:

  • Inventory Management:
  • Prepare requests for picking available items from stock.
  • Arrange for local stock parts from branches.
  • Stage and keep track of all available items in the warehouse.
  • Coordinate with the inventory team to know the status of backordered (BO) parts.
  • Maintain accurate records of spare parts and ensure no free stock is available in A44 organization.
  • Manage inventory control systems to ensure accurate stock levels and timely restocking when necessary.
  • Categorize inventory and complete inventory tracking to ensure effective stock management.
  • Sales and Coordination:
  • Work closely with the sales team to ensure smooth coordination and timely execution of orders.
  • Prepare packing lists according to customer requirements.
  • Prepare stickers as required for shipments.
  • Ensure all picking and packing are completed by the NE team on time.
  • Get payment status of shipments to ensure timely invoicing.
  • Handle sales returns under genuine situations and generate necessary documents.
  • Coordinate the delivery of goods to customers, ensuring all required documents (COO, invoice, packing list, airway bill, gate pass, etc.) are available at the time of dispatch.
  • Shipment and Dispatch Management:
  • Ensure timely dispatch of orders and shipments.
  • Follow up on pending shipments and deliveries.
  • Keep track of direct shipments, HTT shipments, and other types of dispatches.
  • In case of discrepancies in NE shipments received, inform the concerned salesperson, move stock to A40 for claims, and reorder if required.
  • Collect and save relevant shipment documents such as proof of delivery, shipment images, BTRs, etc.
  • Warehouse Operations and Task Management:
  • Manage the shipping workflow and other warehouse operations.
  • Assign tasks and work orders to warehouse associates.
  • Maintain the daily shipping and receiving schedule, ensuring smooth operation of all logistics processes.
  • Dispatch and respond to inbound truck orders promptly.
  • Review open and closed sales orders and invoices to ensure all information is accurate and up-to-date.
  • Create and file sales orders, invoices, productivity reports, packing lists, and other necessary documentation.
  • Work closely with the customer service team to resolve any customer issues efficiently.
  • Collaborate with the warehouse supervisor and associates to ensure smooth warehouse operations.
  • Assist the operations department with fulfillment and quality control tasks.
  • Escalate any operational issues to the management team when necessary.
  • Ensure compliance with company policies and procedures, as well as adhere to good manufacturing practices (GMP).
  • Coordination Responsibilities:
  • Coordinate and participate in the physical inventory of warehouse items, compiling inventory records and preparing reports as needed.
  • Organize surplus property storage and monitor inventory levels to maintain an adequate supply of items.
  • Schedule and coordinate setup or public auctions as needed.
  • Compile order requests from various sources, ensure compliance with specifications, and determine the type and quantity of items to order.
  • Prepare purchase order requests and notify purchasing agents of order specifications.
  • Handle emergency and special orders on non-stock items and ensure timely processing.
  • Complete inventory, ordering, and receiving records and review reports for accuracy.
  • Evaluate performance of materials ordered to ensure purchasing the most economical and durable products.
  • Administrative Duties:
  • Assume responsibility for managing warehouse operations in the absence of the supervisor or assist in various aspects of warehouse management activities as directed.
  • Maintain appropriate records and prepare reports on various warehouse activities as directed.
  • Assist in developing policies, procedures, and plans for warehouse activities and act as a liaison to agency staff requesting services.
  • Research used equipment market value to evaluate resale prices and screen Federal surplus for possible agency use.
  • Warehouse Operation:
  • Perform, direct, or oversee warehouse operations, including receiving and logging incoming freight shipments.
  • Verify freight against invoices and purchase orders, reporting any discrepancies.
  • Use loading and unloading equipment to store items in the warehouse, stock shelves, and retrieve items from storage according to requests.
  • Fill orders from stock, rotate stock, and deliver items to designated locations according to the schedule.
  • Obtain signature or receipt for items and complete necessary inventory records.
  • Return empty carts, pots, pans, and usable food to the warehouse, ensuring proper storage.
  • Retrieve and place outgoing freight on the shipping dock and make unscheduled or emergency deliveries as required.
  • Maintain warehouse cleanliness and orderliness, ensuring equipment and facilities are properly cleaned and maintained.
  • Team Leadership and Supervision:
  • Supervise warehouse staff, including hiring, training, and scheduling.
  • Develop and maintain standard operating procedures (SOPs) for warehouse operations, ensuring maximum efficiency and productivity.
  • Assist the supervisor in planning, assigning, and reviewing the work of warehouse staff, prioritizing the delivery schedule.
  • Evaluate employee performance and provide input on performance appraisals.
  • Assess the training needs of staff and assist the supervisor in providing appropriate training and orientation for new employees.
  • Systems and Technology:
  • Use warehouse management systems (WMS) and Systems Applications and Products in Data Processing (SAP) software to track and manage inventory, shipments, and warehouse operations.

Qualifications and Skills:

  • Graduate degree.
  • 4 – 6 years of relevant experience in warehouse coordination or a similar role, preferably in the automobile sector.
  • Sound knowledge of mechanical systems and spare parts, with experience in the automobile field.
  • Hands-on experience with computer systems and warehouse management software (WMS, SAP).
  • Strong organizational and time-management skills.
  • Excellent communication skills and ability to collaborate effectively with cross-functional teams.
  • Attention to detail and ability to manage multiple tasks simultaneously.
  • Ability to work under pressure and meet tight deadlines.
