CheerCon is a leading Australian cheer and dance event company, delivering competitions, merchandise, apparel and industry experiences across the country.

We are looking for a highly organised and proactive Warehouse, Procurement & Goods Lead to oversee our warehouse operations and coordinate the ordering of apparel, merchandise, event goods and operational assets.

This is a hands-on operational role suited to someone who enjoys keeping things organised, managing multiple deadlines and making sure the right products arrive at the right place, at the right time.

About the role

Reporting to the Operations Manager and Managing Director, you will coordinate the sourcing, ordering, production, receipt, storage and distribution of goods across the business.

You will work closely with our internal events, apparel, marketing, sales and operations teams to ensure approved orders are accurately placed, production timelines are monitored and stock is received, stored and dispatched efficiently.

You will also coordinate the ordering and preparation of goods and assets required for CheerCon events, including merchandise, awards, signage, printed materials, wristbands, lanyards, consumables and other event-specific items.

This is not a sales or club account-management role. Club sales and relationship building will be managed separately but will work collaboratively with this position, with this position focused on procurement, fulfilment, warehouse operations and internal coordination.

Key responsibilities

  • Coordinate the ordering of apparel, uniforms, merchandise, event goods, event assets and operational supplies.
  • Prepare and place accurate purchase orders, confirming specifications, quantities, sizes, artwork, pricing and delivery requirements.
  • Maintain an ordering calendar aligned with event dates, product launches, stock requirements and internal deadlines.
  • Source and assess suppliers based on quality, price, reliability, capability and lead times.
  • Negotiate supplier pricing, production terms, freight arrangements and timelines within approved budgets.
  • Monitor samples, approvals, production milestones and delivery dates.
  • Proactively follow up delays, discrepancies, quality concerns and missing documentation.
  • Coordinate freight, customs and import documentation, including ChAFTA requirements where applicable.
  • Receive, check, record, label and correctly store incoming goods.
  • Maintain accurate inventory records and complete regular stocktakes.
  • Organise warehouse stock locations and workflows for efficient picking, packing and dispatch.
  • Pack and dispatch customer, internal and event orders accurately and on time.
  • Prepare and reconcile stock, merchandise, equipment and assets for events.
  • Coordinate the transport and delivery of goods to and from event venues.
  • Support event bump-in and pack-down when required.
  • Complete post-event stock reconciliation and report missing, damaged or replacement items.
  • Maintain a clean, safe and well-organised warehouse.
  • Provide internal teams with accurate updates regarding stock, costs, production progress and delivery timelines.
  • Identify opportunities to improve quality, reduce costs and strengthen warehouse and procurement processes.

About you

You will be someone who naturally notices the details, follows things through and stays calm when several deadlines are approaching at once.

You will ideally have:

  • Experience in procurement, product ordering, apparel production, merchandise coordination, supply chain or a similar operational role.
  • Experience in warehouse operations, inventory control or logistics.
  • Strong organisational, planning and time-management skills.
  • Excellent attention to detail, particularly with quantities, specifications, pricing and delivery information.
  • Confidence communicating and negotiating with suppliers and freight providers.
  • The ability to manage competing priorities and fixed deadlines.
  • Strong problem-solving skills and a proactive, solutions-focused approach.
  • Good spreadsheet skills and accurate digital recordkeeping.
  • The ability to work independently while collaborating closely with internal teams.
  • A reliable, accountable and professional work ethic.

Experience working with international manufacturers, freight providers, customs processes or ChAFTA documentation would be highly regarded.

Hours and location

This is a part-time position working 28-32 hours per week across five weekdays.

The role is based at our warehouse in Beresfield, NSW, and requires regular on-site attendance due to the hands-on warehouse and stock-management responsibilities.

Some event work, including occasional travel, bump-in or pack-down outside standard hours, may be required with advance notice.
