Full job description

Ensure accurate receiving and stock flow into the business

This role is responsible for managing the accurate and efficient flow of stock into the business.

You will own the receiving function — ensuring all incoming stock is checked, processed correctly, and aligned with purchase orders and invoices.

You will also coordinate customer orders on arrival, raise claims for damaged or faulty goods, and work closely with accounts payable to resolve discrepancies.

Once receiving is under control, you will step into the store to support the team and customers.

This is a hands-on role with clear responsibility and variety across warehouse and retail.

What You Own

Receiving & Stock Accuracy:

  • Ensure all deliveries match purchase orders, invoices, and delivery dockets
  • Check quantities, pricing, and product details for accuracy
  • Identify and escalate discrepancies immediately
  • Unload, unpack, and move stock safely and efficiently
  • Maintain accurate receiving paperwork and system records
  • Keep the receiving area organised, clean, and running smoothly
  • Invoice Processing & AP Coordination
  • Upload and process supplier invoices accurately
  • Work with accounts payable to resolve discrepancies
  • Provide clear and timely information to support invoice accuracy

Customer Order Coordination:

  • Coordinate customer orders once stock is received
  • Ensure orders are picked, correct, and ready for collection or delivery
  • Communicate with the team regarding order arrivals and availability
  • Claims, Credits & Faulty Stock
  • Identify damaged, faulty, or incorrect goods at time of receiving
  • Raise claims with complete documentation (photos, notes, supplier details)
  • Ensure claims are submitted accurately for follow-up

Store & Team Support:

  • Step onto the retail floor once core tasks are complete
  • Assist customers and support trade and counter sales
  • Help with merchandising, stock replenishment, and presentation
  • Work across departments as part of one team

This Role Is For You If:

  • You take pride in accuracy and doing things properly
  • You notice when things don’t add up and act on it
  • You’re organised and can manage multiple tasks at once
  • You communicate clearly with internal teams
  • You’re comfortable working in both warehouse and customer-facing environments
  • You take ownership of your role and follow through on your work

Why Join Wills & Co Group?

  • Family-owned and locally operated business
  • Strong team culture across all departments
  • Stable full-time role with a consistent set roster
  • Opportunity to grow within the business
  • Staff discounts across our stores

This is a permanent full-time position working Monday to Friday, 2:00pm to 10:00pm.

Key Accountabilities:

  • Lead, coach, motivate and develop the warehouse team to achieve daily operational targets and maintain high performance standards.
  • Take accountability for the performance, capability and conduct of direct reports, ensuring team members are trained, competent and managed in line with company processes.
  • Promote a strong safety-first culture and ensure compliance with WHS, quality, legislative and operational requirements.
  • Coordinate warehouse and logistics activities to ensure orders are fulfilled accurately, efficiently and on time.
  • Liaise with transport providers, suppliers and customers to meet service expectations, resolve issues and support new customer onboarding.
  • Identify and implement opportunities to improve processes, optimise performance and deliver cost efficiencies

Qualifications, Skills and Experience:

  • Minimum 5 years’ experience in warehousing or logistics, including experience in bonded or regulated environments.
  • At least 3 years’ experience in a supervisory or leadership role, with proven people leadership, coaching and performance management skills.
  • Strong knowledge of Warehouse Management Systems, together with a sound understanding of Chain of Responsibility and WHS requirements.
  • Strong communication, organisational and problem-solving skills, with the ability to work effectively with internal and external stakeholders.
  • High attention to detail and a customer-focused approach, supported by a commitment to safe, accurate and efficient operations.
