The Warranty Administrator/Assistant will be responsible for processing all aspects of the warranty process including claim submission, reconciliation of accounts, and maximizing claim returns. Some of the job duties will include:

  • Ensure that all administrative functions within the warranty department are carried out in accordance with company policy.
  • Process warranty claims and paperwork on a timely basis.
  • Provide customer service regarding warranty questions with parts and service.
  • Verify criteria required by factory or distributor.
  • Reconcile all warranty receivables with payments through the appropriate accounting schedule.
  • Post credits in the ADP accounting system
  • Resubmit all rejected claims promptly or receive authorization to write them off.
  • Follow up on payment of outstanding claims.
  • Track warranty parts by tagging with repair order number, date of replacement, and date on which part may be disposed.
  • Arrange for parts to be shipped to the factory or distributor, or to be scrapped.
  • File and maintain all service records as required.
  • Keep informed of all recalls and bulletins
  • Maintain all service and customer records as required by the warrantor.
  • Perform other duties as assigned.

DESIRED SKILLS, KNOWLEDGE, AND EXPERIENCE

  • High School Diploma or GED
  • Minimum of 3-5 years warranty experience is required
  • Experience with ADP considered an asset
  • Strong customer service and troubleshooting skills with experience analyzing and resolving customer service and client issues
  • Self-starter with the ability to prioritize and organize workload in a fast paced environment
  • Excellent attention to detail with a sense of urgency to meet tight deadlines
  • Energetic and friendly with excellent verbal and written communication skills
