Job Title: Warranty Coordinator Location: Kent, WA Travel: up to 25% Department: Field Service Operations Reports To: Manager, Warranty Operations Employment Type: Full-Time Compensation: $31.00 – $36.00 per hour (based on experience) Position Summary MSHS and Pacific Power Group (PPG) are seeking a highly analytical, detail-driven Warranty Coordinator who thrives in a structured yet fast-paced service environment and takes ownership of results. This role is ideal for someone who communicates in a factual, direct, and straightforward manner, enjoys solving discrepancies, and can confidently manage shifting priorities, deadlines, and multiple manufacturers across multiple branch locations. You will serve as the subject matter expert on warranty policies and processes — driving accuracy, maximizing recoveries, and ensuring branches execute warranty claims correctly the first time. What You’ll Do: Warranty Claims Management Open, track, and manage warranty orders for vendor. Confirm eligibility, secure special authorizations, and process claim credits. Investigate variances, reconcile rejected or reduced claims, and collaborate with Service Managers to resubmit and recover lost revenue. Plan and manage complex or recurring warranty initiatives to increase correct execution. Reporting & Performance Accountability Prepare, track, and communicate branch-level KPIs (Last labor reporting, aging, recoveries, efficiency, profitability). Analyze warranty trends and provide actionable recommendations. Maintain accurate, audit-ready records of all warranty transactions. Compliance & Cross-Functional Coordination Act as subject matter expert on manufacturer warranty policies. Audit repair order documentation for compliance and accuracy. Ensure branches maximize claim recovery while adhering to guidelines. Support manufacturer warranty audits and assist with branch training. Provide Accounting with required documentation for credits and payments. Parts Returns & Vendor Management Coordinate warranty part return requests and instructions. Oversee documentation and policy compliance for returns. Serve as the point of contact for internal and dealer warranty inquiries. Required Knowledge, Skills & Abilities: Fundamental understanding of manufacturer warranty programs. Ability to work within company business systems, applications, and manufacturer portals. Strong interpersonal, organizational, and time management skills. Responsible and professional with a strong work ethic, integrity, and reliability. Positive attitude with the ability to collaborate across departments. Excellent attention to detail and data entry accuracy. Excellent written and verbal communication skills, including phone etiquette and professional customer service. Intermediate proficiency with computer programs and Microsoft Office (Word and Excel). Basic understanding of accounting functions. Experience & Education Requirements: High school diploma or General Education Degree (GED). 5+ years of experience filing and administering warranty claims or administrative related experience. What Success Looks Like: Claims are processed accurately and on time. Warranty recoveries are maximized. Branches consistently follow warranty guidelines. Reporting is reliable, actionable, and audit-ready. Vendor credits are tracked and received properly. Warranty processes continuously improve.
