Job Summary The Wealth Administrative Assistant will be responsible for performing operational support and administrative duties for the entire department, including seasonal surges in time demands, i.e. year-end Tax Season. The Assistant undertakes a range of administrative tasks that support the entire Wealth Department and will have extensive client interactions in person, over the phone and digitally. The successful candidate will be organized, open-minded and adaptable while developing processes and procedures. Key Responsibilities: General Administration Maintain confidentiality of client information and possess accuracy and attention to detail. Work well in a team environment and on an individual basis with a positive attitude. Complete tasks independently while re-prioritizing & multi-tasking to help meet deadlines. Demonstrate strong written and oral communication skills. Meet and greet incoming clients. Answer incoming phone calls. Prepare invoices, reports, memo letters, and other documents as needed. Perform general office duties including but not limited to ordering supplies; maintaining records; and opening, sorting, and distributing incoming and outgoing correspondence. Coordinate and assist with information requests from internal and external sources. Plan and organize client events. Perform additional responsibilities as assigned. Accounting Services Bookkeeping and/or Accounting experience, specifically using QuickBooks, would be a plus. Tax Services Manage Online Client Portal. Open, sort and arrange all incoming client tax data. Use Tax software to log and track tax preparation status. Assemble tax returns and other reports and presentations for client delivery. Schedule appointments for tax return intake and delivery appointments. File and maintain client records. Brokerage Services Use INB’s core brokerage system and reporting tools to gather data and generate reports. Help with processing account opening paperwork and transactions, i.e., distributions, receipts, and account related data updates for customers. Schedule appointments with Brokerage clients. Assist with marketing projects and mailings. Other duties may be assigned that are reasonably within the scope of the position Education and Experience Associates degree or two years of related experience and/or training preferred. Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, and other office procedures. Tax, Bookkeeping/Accounting and QuickBooks experience preferred. Computer Skills To perform this job successfully, an individual should be proficient in Microsoft Office with strong knowledge of Excel and Word. Data analytics and experience with general ledger software, specifically QuickBooks, would be a plus. Reasoning Ability Ability to solve practical and abstract problems where only limited information exists. Ability to interpret instructions furnished in written, oral, diagram, or schedule form. Strong analytical skills with excellent attention to detail and accuracy. Mathematical Skills Ability to calculate figures and amounts such as discounts, interest, commissions, proportions and percentages. Ability to apply mathematical concepts such as basic algebra and geometry. Communication Skills Strong written and oral communications skills, to present information and to respond to questions from managers, clients, and the general public. Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, and governmental regulations. Physical Demands During certain deadline-driven times, overtime will be expected and required. The estimated hiring range is the budgeted amount for this position. Final offers are based on various factors, including skill set, experience, location, qualifications, and other job-related reasons.
