JOB DESCRIPTION:

The Wealth Management and Operations Assistant will be responsible for providing administrative and operational support to financial advisors in a wealth management firm. The ideal candidate has 3 years administrative experience. This position assists the team in many areas of our financial planning practice, including answering in-bound calls, preparing new account and service paperwork, managing multiple computer systems in a paperwork-intensive environment, providing customer service both in person and over the phone, facilitating and resolving client service requests, scheduling client meetings, generating and mailing correspondence, and completing other administrative tasks as assigned.
This position will manage several administrative aspects of client accounts, including creating and updating files, entering new clients into the CRM Marketing System, preparing documents for new client accounts, providing administrative support to Financial Advisors, preparing necessary paperwork, and finalizing deposit/withdrawal requests.
The ideal candidate will be proactive and be able to work independently on multiple projects and tasks simultaneously. Successful candidates will have strong organizational skills and attention to detail. Candidates must have prior experience in financial services and office administration.

Responsibilities include:

  • Assist financial advisors with daily activities, including maintaining calendars, preparing correspondence, and providing customer service
  • Interact with clients in person and over the phone
  • Prepare and review new account and/or insurance paperwork
  • Prepare and update client financial plans using financial planning software
  • Perform investment research and support for financial advisors
  • Facilitate and resolve client service requests
  • Apply a working knowledge of operations/client-service processes
  • Work independently, effectively, and efficiently
  • Ensure paperwork and client deliverables are prepared and provided for all client meetings
  • Handle confidential and/or sensitive information responsibly
  • Maintain administrative functions of the office
  • Handle inquiries from existing and prospective clients
  • Prepare paperwork for client transactions, including but not limited to: opening new accounts, closing accounts, transferring assets, deposits, and changing account titles and addresses
  • Send requested documentation to clients and / or their professional advisors (as appropriate) regarding account activity
  • Utilize applicable software and resources to produce quality letters and spreadsheets in response to inquiries received
  • Assist with maintaining online folders

Required Experience

  • Bachelor’s degree in finance, business, or financial services (or equivalent experience)
  • 3 years administrative experience
