JOB DESCRIPTION:

Fairview Weddings & Events is seeking a dynamic and detail-oriented administrative superstar to join our team as a Sales Administrator. This role is essential in supporting the sales team by managing scheduling, administrative tasks, and fostering a collaborative and organized culture. The position is focused on ensuring smooth operations across all venues, with key responsibilities including calendar management, managing tasks and appointments in Salesforce, all while delivering superior customer service and client management.
Responsibilities:
· Calendar Management: Oversee and maintain the sales team’s calendar, scheduling client consultations, venue tours, and other sales-related meetings across multiple venues.
· Salesforce Management: Manage and update tasks, appointments, and client details within Salesforce, ensuring that all data is accurate and up-to-date.
· Customer Service & Client Management: Serve as the first point of contact for general client inquiries, providing exceptional customer service via phone, text, email, and in-person, ensuring that client needs are addressed promptly.
· Venue Tour Scheduling: Coordinate and schedule venue tours for prospective clients, working closely with sales leaders at each venue to ensure smooth client experiences.
· Pipeline Management: Assist in tracking and managing the sales pipeline, ensuring timely follow-ups and communication with prospective clients.
· Administrative Support: Provide general administrative support to the sales team, including preparing reports, drafting proposals, and managing client contracts when appropriate.
· Team Collaboration: Foster a collaborative environment within the sales team, ensuring open communication and a positive working atmosphere.
· Reporting: Assist in preparing weekly and monthly reports on key performance indicators (KPIs), including event bookings, client feedback, and overall sales progress.
· Process Improvement: Continuously identify and implement ways to improve administrative processes, making the sales team’s workflow more efficient and effective.
Qualifications:
· Strong organizational skills with a keen attention to detail.
· Proven experience in administrative support, preferably within the events or weddings industry.
· Proficiency in CRM software, especially Salesforce, as well as Microsoft Office Suite.
· Excellent interpersonal and communication skills, both written and verbal.
· Ability to manage multiple tasks and deadlines in a fast-paced environment.
· Strong customer service orientation, with a passion for creating memorable client experiences.
· Ability to work independently and as part of a collaborative team.
