Description

We are a Catering and Events company based just outside of Shaftesbury/Warminster looking for an Event Coordinator / Front of House Manager to join our team, working as little as 8 or as much as 25 hours per week, dependent on our events calendar and candidate’s requirements and skills.
Hours are flexible but usually based on some remote office work, working the event set up day, usually on a Friday and event day which is usually Saturday on location, typically within a 30 mile radius of Shaftesbury, on both day time and evening shifts. Own transport is therefore essential. Our busy season is from Feb-Oct with Christmas events, some smaller dinner parties and shoots through the winter months.

The Event Coordinator role is working primarily on weddings. The candidate will be expected to provide expert support to plan and manage the logistics for the event and forge a strong relationship with clients, discovering exactly what they want for their wedding and from you as the Coordinator. This includes:

  • Arranging, facilitating and attending a pre-event planning consultation and site visits as required.
  • Directing the clients to suppliers (such as caterers, photographers, equipment hire companies, bands and florists)
  • Liaising with the client on vision, costs, delivery, collection and design.
  • Liaising with the client on each stage of the event from planning meeting to event take-down, fielding calls and emails to populate the event planning documents.
  • Creating detailed planning documents, timelines and floor plans of the event.
  • Being available and providing support on the event set-up, rehearsal, day of the event (often including ceremony in the case of weddings) and event breakdown where required.
  • Acting as the pivotal point of contact at the event for clients, guests and all suppliers.
  • Adhering to the event planning documents and timeline, working closely with all parties on the day to ensure all details are covered.

This role requires an exceptional level of organisation and attention to detail, strong communication and team-leadership skills, a friendly and approachable disposition, willingness and the ability to work long hours in a short timeframe and also independently, a calm approach to problem solving and multitasking, the ability to think creatively and problem solve effectively.

The Front of House Manager role encompasses weddings and other events such as corporate functions, dinner parties and other celebratory events. The role is to provide overall management of the front-of-house catering service and service staff at an event, including:

  • Liaising with the client at the event, on all aspects of the event catering service
  • Liaising with office staff prior to the event to establish the full event logistics and requirements
  • Running client tasting sessions at our catering unit
  • Liaising with the kitchen staff on timings and requirements from the event front-of-house.
  • Creation, communication and execution of a service plan
  • Event set up and table laying services
  • Overseeing the smooth running of the event front-of-house ensuring all guest needs are attended to.
  • Management of up to 20 service staff - communicating clearly with, directing, supporting and signing staff on and off events.
  • Maintaining a high level of organisation and cleanliness through the catering unit, functions van and onsite at events.
  • Ensuring health and safety and company policies are adhered to during an event

As Front of House Manager you must be able to work calmly and happily leading a team and also solo working, giving a high level of service in a client-facing role. Strong communication skills across clients, guests and staff are important as well as a friendly, approachable disposition and excellent organisation skills.
