Description East Lawn Elk Grove Cemetery is looking for a weekend receptionist. This position is required to work weekends and to fill in when needed. Our receptionist are the first point of contact for families, visitors, and vendors. This role involves managing phone calls, greeting and directing visitors, maintaining records, and providing administrative support to the team. Essential Duties and Responsibilities include the following: Provide a professional approach and decorum with customers and fellow staff members Answer Telephones & Greet Visitors: Answer incoming calls promptly and greet customers, visitors, and vendors with professionalism and courtesy. Answer a high volume of incoming calls, ensuring each is handled promptly and professionally. Call Screening & Call Transfers: Screen incoming calls and transfer them to the appropriate staff according to the established rotation schedule. When necessary, take detailed messages, including the caller’s name, contact number, and reason for calling. Maintain a daily phone log. Maintain Service Records: Keep accurate daily records of services, ensuring information is up-to-date and properly documented. Direct families and visitors to the appropriate service location within the facility. Maintain and manage the office's front desk area, ensuring it is welcoming and organized. Package & Mail Reception: Receive and sign for packages and mail on behalf of the facility. Notify the intended recipient of incoming items in a timely manner. Customer Assistance: Greet and assist customers upon arrival. Ensure that the Funeral Director or Family Service Counselor is promptly informed of the visitor's arrival. Grave, Crypt & Niche Assistance: Aid families and visitors in locating crypts, niches, and gravesites. Support Special Projects: Assist the Manager with special projects, including providing administrative support to Funeral Directors and Family Service Counselors as needed. Inventory Management: Order and maintain a sufficient inventory of office supplies to ensure smooth operations. Additional Duties: Perform other administrative and office-related tasks as assigned by the Manager or Supervisor. Other duties as required. Qualifications: Proven experience as a receptionist, front desk representative, or similar role. Excellent phone etiquette and communication skills. Ability to multitask and prioritize tasks in a fast-paced environment. Professional appearance and a courteous, friendly attitude. Ability to work with sensitive information and maintain confidentiality. Excellent communication skills, a friendly demeanor, and the ability to handle a variety of tasks in a professional and efficient manner. Education/Experience High school diploma or equivalent; Additional certifications in office administration or customer service are a plus. Math Ability Basic math skills Computer Skills Intermediate to advanced skills with Microsoft Word, Excel and Outlook are required as well as understanding of a CRM system or industry software.
