We are looking for an onsite Administrative Assistant, to work alongside a Property Manager who manages prestigious condominiums in Montreal. The Assistant will be responsible for greeting the residents and/or suppliers at the office front desk and supporting the Property Manager in their administrative tasks.

DESIRED QUALIFICATIONS:

  • Excellent command of the French and English language (oral and written). English is required to respond to requests from English-speaking customers.
  • Adaptable to learning new operating systems.
  • Familiarity with Upperbee and Google Workspace is an asset.
  • Minimum 3 years of relevant administrative and customer service experience.
  • Team player, yet able to work autonomously.
  • Excellent leadership and communication skills.
  • Proactive and organized.
  • Capable of maintaining a balanced approach to stress management.
  • Positive mindset.
  • Computer literate.

Responsibilities
  • Required to be onsite 4 days, 1 day option to work from home. Flexible hours between 8am to 5pm.
  • Greeting and assisting residents, visitors and suppliers.
  • Maintain and update the current filing system and database (lease copies, contact information, service contracts, by-laws, documents, etc.)
  • Handle administrative correspondence through the communication portal, emails and by phone (memos, notices, news letters, general inquiries, service requests, complaints, rule violations, document requests, etc.) following approval by the Property Manager.
  • Managing amenity bookings and deliveries.
  • Organize moves, manage key/magnetic chip/garage key requests, update intercom systems as requested.
  • Assisting the Property Manager with administrative tasks as required.
