Description

We are looking a Wills and Probate Legal Assistant to assist us in continuing to provide the highest level of service to our clients.
The Wills and Probate Legal Assistant role is a varied. You will be assisting the Head of Department and your role will involve working with clients who instruct us to prepare Wills, Lasting Powers of Attorney, Deputyship applications and Trusts. Your role will also involve working on Probate and Estate Administration files.
You must have experience working in a private client department and be able to interact directly with clients in a compassionate manner and show a high level of understanding relevant to the work type.
Due to the nature of the work being carried out, it is a requirement that this role will be shared between our offices in St Helens, Rainhill and Prescot.

SKILLS:

  • Previous experience - estate administration, probate, Wills and Lasting Powers of Attorney.
  • Providing comprehensive secretarial and administrative support to the Private Client team.
  • Excellent people skills, being able to demonstrate compassion and empathy
  • Typing and formatting legal documents, including wills, LPAs, and probate paperwork
  • Handling incoming and outgoing correspondence.
  • Managing diaries, arranging meetings, and booking appointments.
  • Opening, closing and archiving files in line with firm procedures.
  • Liaising with clients and third parties in a professional and courteous manner.
  • Assisting with billing processes and maintaining accurate file records
  • Communication and relationship building skills.
  • Excellent attention to detail.
  • A positive approach to achieving targets.
  • Able to manage time effectively whilst maintaining accurate and high-quality work.
  • Able to work effectively as part of a team.
  • Adaptable to change in line with business needs.

Responsibilities
  • Taking incoming calls from prospective clients, providing costings for various work types and making appointments for staff members within the department.
  • Taking calls from existing clients, providing file updates and dealing with enquiries from clients, third parties, beneficiaries etc.
  • Opening files, carrying out ID checks and due diligence.
  • Preparing legal documents for signature
  • Preparing bills and keeping a record of bills issued
  • Drafting, printing letters and dealing with dictation.
  • Carrying out full estate checklists and supporting with overviews
  • Dealing with post, updating the system and logging appropriate work
  • Check and review all required documents for each estate
  • Conduct Bankruptcy, Will Search, Land Registry and Money Laundering checks as well as arranging Property Valuations
  • Chasing third parties for information relating to existing cases
  • Paying debts and expenses on estates, including the funeral
  • Obtaining income tax information
  • Dealing with enquiries from the Department of Work and Pensions
  • Closing Files when the Estate Administration is complete
  • Dealing with queries on closed cases
  • Previous experience working as a legal secretary within private client law
  • Proficiency in Microsoft Office and legal case management systems (Visual Files)
  • Excellent organisational skills and attention to detail
  • A proactive, flexible approach and the ability to work as part of a team
  • Using initiative and being proactive in progressing cases
    35 hours per week, Permanent
    Working Monday to Friday 9am to 5pm with lunch break
    Starting Salary – negotiable depending on experience
