Position Summary The Workforce Analysis Manager sits at the intersection of timekeeping, scheduling, and workforce intelligence, reporting to the Director of HR Operations. This role owns the full lifecycle of time and attendance data, from the moment an employee clocks in to the moment a paycheck is issued, ensuring every record is accurate, every schedule is optimized, and every pay practice is compliant. Beyond operational stewardship, the Workforce Analysis Manager serves as a strategic partner to HR leadership and line management, translating scheduling patterns, attendance trends, and labor data into decisions that improve how the business deploys its people. Key Responsibilities Timekeeping & Time Capture Serve as the primary administrator of Gifthealth’s timekeeping platform; audit time records, identify and resolve exceptions prior to payroll close, and establish controls that prevent recurring discrepancies; manage rounding rules, grace periods, missed punch protocols, and ensure system configuration choices do not create downstream compliance exposure; maintain fluency in how time data flows between timekeeping, scheduling, and payroll systems Scheduling & Staffing Operations Build and maintain shift schedules for hourly, variable, or multi-site workforces balancing coverage requirements, labor budgets, and employee preferences; lead schedule transitions including introducing new rotations, enforcing schedule adherence, and managing through manager and employee resistance Pay Compliance & Labor Law Apply working knowledge of FLSA requirements, exemption classifications, overtime, and off-the-clock risk; maintain compliance with state and local predictive scheduling laws, meal and rest break mandates, and split-shift premiums; maintain documentation readiness for Department of Labor audits, wage claims, and internal compliance reviews Workforce Analytics & Reporting Translate attendance trends, overtime patterns, schedule adherence rates, and absenteeism data into clear, actionable reports for HR leadership and line management; build and maintain recurring reporting cadences and operational dashboards; conduct root cause analysis to identify why overtime is spiking, why departments chronically understaff, or why locations consistently generate timekeeping exceptions Payroll Partnership & Manager Enablement Act as the primary pre-payroll checkpoint in partnership with the Payroll team to catch errors, resolve edge cases, and close each cycle on time and accurately; train and support line managers on timekeeping tools, scheduling workflows, and policy adherence so compliance becomes a consistent habit Team Leadership & Process Improvement Build and develop a small team of analysts or coordinators with clear expectations and accountability around data quality and deadlines; push back constructively on scheduling or staffing decisions that create legal or financial risk and propose viable alternatives; identify and implement durable fixes to inefficiencies in how time data is captured, approved, or transmitted Qualifications Education Bachelor’s degree in Human Resources, Business Administration, or a related field; or equivalent work experience (Required) Experience 5+ years in workforce management, timekeeping, or HR operations roles with increasing scope (Required) Hands-on administration of a major timekeeping or WFM platform (UKG, Kronos, ADP, Workday Time, or similar) as a configurator and troubleshooter, not just as a user (Required) Demonstrated familiarity with FLSA, state wage and hour law, and predictive scheduling regulations; experience designing or managing scheduling operations for an hourly, variable, or shift-based workforce of 200+ employees (Required) Healthcare, logistics, retail, or other high-volume hourly workforce industry experience (Preferred) Prior people management experience, including informal team lead or project lead roles (Preferred) Knowledge, Skills & Abilities Deep knowledge of timekeeping system administration, workforce scheduling principles, FLSA and wage and hour compliance, and state-specific labor law obligations (Required) Proficiency in Excel or Google Sheets for data analysis and workforce reporting; strong analytical, root cause analysis, and problem-solving skills; ability to translate labor data into clear recommendations for leadership and line management (Required) Ability to push back constructively on operational or financial decisions that create compliance risk; cross-functional influence without authority; strong communication skills with HR leadership, line management, payroll, and Finance teams (Required) Experience with BI tools such as Tableau, Power BI, or Looker for workforce reporting and dashboards (Preferred) Work Environment Schedule: Full-time; reports to the Director of HR Operations Key internal partners include HR leadership, HR Business Partners, Payroll, Finance, IT, and line management across all departments Employment Classification Status: [X] Full-time [ ] Part-time [ ] Temporary FLSA: [X] Exempt [ ] Non-Exempt Equal Employment Opportunity (EEO) Statement Gifthealth is an Equal Opportunity Employer and prohibits discrimination and harassment of any kind.
