ABOUT THE OPPORTUNITY

This is a full time (40 hours/week), project based role from early August - October 10, 2025.
Team Coordinator will support several topic-focused Working Group teams by helping to manage day-to-day team operations as well as providing research and administrative assistance to enhance team effectiveness. Key responsibilities include supporting logistical planning and implementation, communication and coordination between teams, and support for data management. The ideal candidate will have strong organizational skills, attention to detail, and the ability to handle multiple tasks simultaneously. A successful candidate will also demonstrate excellent communication, problem-solving, and collaboration skills, with a proactive approach to supporting team goals.

MINIMUM QUALIFICATIONS

What we’re looking for:

  • Bachelor’s Degree required
  • At least 2 years of professional experience in the field; experience providing operational and administrative support.
  • Ability to take initiative and lead projects end-to-end.
  • Ability to collaborate effectively across teams to complete deliverables in a timely manner.
  • Strong writing and proofreading skills for note-taking and summaries.
  • Experience managing large lists and datasets and strong attention to detail.
  • Ability to excel in customer service and external facing role.
  • Experience with Microsoft Office suite and Google Drive.
  • Experience using Blackbaud or other CRM systems is a plus.
  • Experience using Airtable or other project management software is a plus.
  • Ability to work overtime if needed in preparation for CGI events
Responsibilities

Operational & Administrative Support

  • Provide operational support to Working Group teams; serving as primary liaison between the Operations Team and assigned Working Groups.
  • Support management of deadlines and milestones and follow-up on progress against targets (done in coordination with Operations Team).
  • On an as needed basis, provide support for external meetings in preparation for the Annual Meeting; take notes and draft summaries and next steps; provide support on event operations and logistics.
  • Support data management functions in coordination with Operations and CRM teams.

Content Assistance

  • Support as needed for Working Group briefing documents and other deliverables and written materials.
  • Support for Commitment to Action-makers in the leadup to the Annual Meeting, including preparation for featuring opportunities.
  • Ad-hoc research as needed.

Special Projects

  • Support on Annual Meeting tasks as needed (registration support, room management, attendee movements, meeting notes, printing, microphone running, etc.)
